Job Description Summary:

The College Program Assistant is responsible for providing assistance to the Office of Student Enrichment Health Exploration Program.

Job Description:

Part time - Minimum of three 2 hour planning sessions and 20 three and a half hour sessions.

Job Responsibilities

  • Assists in developing program-specific materials. Assists in development and maintenance of timelines or other documents.
  • Assists in preparation of reports for funding organizations and program partners. Assists in the preparation of presentations or publications ensuring all appropriate approvals are obtained before release.
  • Gathers organizes and prepares source documents for data entry into the appropriate system database. Follows data program security practices and procedures.
  • Reviews data entered against the original source documents for accuracy and corrects any data entry errors or duplications.
  • Creates spreadsheetsandretrieves data from the database as requested. Locates and transfers appropriate information between systems.
  • Supports ongoing data projects and program administrative efforts which may include but are not limited to data entry querying databases obtaining outcomes data online curriculum updates participant tracking quality assessment data organization scheduling ordering program materials and filing.
  • Supports program communication management as needed through handling site updates meeting agendas study-related documents and phone and mail correspondence.
  • Greets participants on arrival documents attendance disseminates information and assists with contacting transportation providers when needed.
  • Inventories and retrieves samples or other program-specific required items as necessary. Sets up equipment to be used in program as needed.
  • Assists with upkeep of program supplies and maintenance agreements.
  • Assists with general secretarial or custodial duties as required by program.
  • Participates effectively in regular or special program meetings/committees as staff support. Prepares necessary materials for meetings and records meeting notes.
  • Complies with all program guidelines and relevant state or federal regulations. Collaborates on the development of protocols.
  • Other duties as assigned or relevant to specific program.

Required Qualifications

Education:

  • High school diploma or GED equivalency.

Work Experience:

  • Prior relevant work experience.
  • Experience with Microsoft Office Suite specifically Excel.

Preferred Qualifications

Education:

  • Associates degree in related field or a combination of education and experience.

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including but not limited to education experience and training qualifications relative to the requirements of the position and funding. At the University of Kansas Medical Center a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range taking into account the combination of factors listed above.
