Job Title: Full Time Accounting and Payroll Assistant Reports to: Accounting and Payroll Specialist Director of Operations
Description: The Assistant to the Accounting and Payroll Specialist will provide administrative and technical support in payroll processing accounts payable/receivable and general accounting functions. This role ensures accurate record-keeping compliance with payroll regulations and smooth day-to-day financial operations. The ideal candidate is detail-oriented organized and able to handle confidential financial information with discretion.This would be a remote position with the requirement that the candidate reside in Wisconsin.
Duties and Responsibilities:
Payroll Support: - Assist in collecting tracking and verifying employee timekeeping and production data.
- Support payroll processing by preparing and entering employee information into payroll systems.
- Help maintain payroll records including wage deductions direct deposits and tax withholdings.
- Assist in processing payroll adjustments for benefits garnishments and tax compliance.
- Respond to employee payroll-related inquiries and escalate issues as needed.
Accounting Assistance:
- Support accounts payable and receivable functions including invoice processing and reconciliation.
- Assist in preparing and entering general ledger journal entries.
- Help with bank reconciliations and financial reporting preparation.
- Maintain accurate records and documentation for payroll and accounting audits.
Compliance and Documentation:
- Ensure adherence to payroll and tax regulations under the supervision of the Accounting and Payroll Specialist.
- Assist in gathering documentation for audits tax filings and financial reports.
- Maintain organized digital and physical payroll and accounting files.
Other Responsibilities:
- Assist in benefit enrollments and payroll deductions as needed.
- Provide general administrative support for the payroll and accounting team.
- Participate in special projects and process improvement initiatives.
Other Duties as assigned
Qualifications:
- Associates degree in accounting finance business administration or a related field preferred.
- Experience with payroll and accounting software (e.g. QuickBooks ADP Paychex) is a plus.
- Strong attention to detail and organizational skills.
- Ability to maintain confidentiality and handle sensitive financial information.
- Strong communication skills and ability to work collaboratively in a team environment.
- Proficiency in Microsoft Excel and other financial tools preferred.
- Excellent verbal and written communication skills.
- Ability to work both independently and collaboratively as part of a team.
