About the Role

We are looking for an experienced Speaker and Production Support professional to join our onsite event operations team on a contract basis. This role will focus on managing all aspects of speaker logistics and production support to ensure flawless program delivery.

The successful candidate will work closely with program development production and creative teams to manage speaker communications coordinate rehearsals and oversee backstage logistics. This is a hands-on contract role ideal for someone with strong organizational skills and experience supporting large-scale live events.

Key Responsibilities

Develop and manage a timeline-driven process for program and speaker execution.
Create and maintain technical show flows for plenaries breakouts meal functions forums and invite-only sessions.
Coordinate with production teams on stage design video content slides and technical integration.
Oversee backstage and speaker-ready areas including green room operations and rehearsal schedules.
Manage speaker outreach communications and prep documentation.
Collect and organize speaker bios headshots presentations and materials.
Schedule and facilitate pre-conference speaker briefings and rehearsals.
Manage onsite speaker logistics including rehearsals A/V needs protocols speaker gifts and escorting.
Partner with internal teams to ensure real-time updates to event websites and apps.

Qualifications

Contract-based experience in speaker management production support or event logistics.
Strong organizational and time-management skills.
Experience creating and managing technical show flows.
Excellent communication and interpersonal skills with proven ability to work with high-profile speakers.
Proficiency with event technology platforms and tools.
Ability to adapt quickly and problem-solve under pressure.
