Job Summary

We are in search of a Receptionist for our Corporate office in Harahan LA.

SUMMARY DESCRIPTION:

Ensureall incoming company phone calls are answered promptly by performing thefollowing duties:

Supervises: This job has no supervisoryresponsibilities

ESSENTIALJOB FUNCTIONS AND RESPONSIBLILITIES:

Professionallyanswers and directs all incoming phone calls.

Ensurephone calls are redirected accordingly.

Greetguests in a professional friendly hospitable manner.

Openand close visitor area (locking doors closing blinds turning off lights).

Performa variety of clerical duties.

Deliverand pick up mail from post office.

Sortand distribute mail within office.

Responsiblefor comparing prices of various office supplies and ordering supplies whenstock is low.

Responsiblefor keeping supply closet and copy room adequately stocked.

Attendanceis an essential function of this position.

QUALIFICATIONS

  • Must be able to read write and speak clearly in the English language.
  • High School diploma or GED required; College preferred
  • One (1) to Two (2) years of Clerical experience.
  • Proficiency in or knowledge of a variety of computer software applications including but not limited to Excel and Microsoft Word software.
  • High level of interpersonal skills to handle sensitive and confidential situations and documentation.
  • Knowledge of office administration procedures.
  • Ability to operate most standard office equipment.
  • Attention to detail in composing typing and proofing materials establishing priorities and meeting deadlines.
  • Proficient spelling grammar and written communication skills.
  • Excellent telephone and oral communication skills.
  • Experience and or the ability to operate a multi-phone switchboard.
  • Excellent phone etiquette.
  • Excellent verbal communication skills.
  • Punctual.
  • Able to work with minimum supervision.
  • Customer service orientated and driven.
  • Professional appearance.
  • Business casual.
  • Acknowledgment acceptance and an understanding of the essential role of the Receptionist position. That means that due to the need for having the Receptionist present at the reception desk the receptionist participation in company events (e.g. all employee meetings christenings and other company sponsored events) will not be possible unless properly relieved by another receptionist fill-in.
  • The Receptionist is expected to have switchboard open and operating promptly at 8:00 a.m. and throughout the day until 5:00 p.m. Relief switchboard coverage will be provided for a one-hour lunch as well as morning and afternoon breaks of 10 minutes each. The Receptionist should work with relief coverage to determine appropriate times for lunch and breaks.

LANGUAGE SKILLS

Abilityto read analyze and interpret general business periodicals professionaljournals technical procedures or governmental regulations. Ability to write reports businesscorrespondence and procedure to effectively present information and respond to questions fromgroups of managers clients customers and the general public.

MATHEMATICAL SKILLS

Abilityto apply concepts such as fractions percentages ratios and proportions topractical situations.

REASONING ABILITY

Abilityto define problems collect data establish facts and draw valid to interpret an extensive variety of technical instructions inmathematical or diagram form and deal with several abstract and concretevariables.

TRAVEL REQUIREMENTS

Thisposition requires driving a vehicle as necessary for errands and businessrelated meetings. Employee and/or applicant must successfully complete a MotorVehicle History check and possess and maintain a current valid drivers licensein their state of residence.
