Project Support - Amherst K6 Restructuring and 6th Grade Academy (10 Months)
Reports to: Superintendent of Schools
Location: Central Office with assignment to support Amherst K6 Restructuring and Regional 6th Grade Academy projects
Salary: Commensurate with experience full-time position

Position Summary
The Amherst Pelham and Amherst-Pelham Regional School Districts are undergoing a transformational shift to better serve students through two major initiatives: the Amherst K6 Restructuring and the accommodation of the 6th Grade Academy at the middle school site. These complex projects require a high level of planning coordination and documentation across departments.
To support this work the district is seeking a highly organized detail-oriented professional to serve as the Project Support for these two system-wide priorities. Reporting directly to the Superintendent this position will provide the daily administrative and project coordination capacity necessary to keep both efforts moving forward.
The ideal candidate will possess clerical expertise project management skills strong communication abilities and the capacity to track and follow through on detailed timelines and deliverables involving multiple stakeholders.
Primary Responsibilities
Project Coordination & Task Management
- Maintain and update project trackers and milestone timelines specifically tied to the Amherst K6 Restructuring and the Regional 6th Grade Academy transition.
- Coordinate task deadlines accountability check-ins and deliverables across Executive Directors Principals and support staff.
- Manage a dynamic timeline of implementation activities such as staff assignments student transitions handbook development facility readiness and School Committee communications.
- Create maintain and update shared folders and drives ensuring proper naming conventions version control and accessibility for all project materials.
- Track dependencies between initiatives (e.g. how 6th grade scheduling affects K5 placements or how IT timelines affect classroom moves).
- Coordinate workstreams across departments including HR IT Operations Curriculum & Instruction Family Engagement and building principals.
- Organize and schedule K6 and 6th Grade Academy planning meetings walkthroughs and stakeholder engagements.
Meeting Minutes & Action Step Follow-Through
- Schedule all planning meetings related to the K6 Restructuring and 6th Grade Academy (e.g. HR staffing groups operations teams principal work sessions family engagement events).
- Prepare agendas in advance with input from the Superintendent and project leads.
- Attend and record clear professional-level minutes for all relevant meetings capturing decisions discussion highlights and assigned action items.
- Distribute meeting summaries within 24 hours to appropriate leadership teams.
- Track all action steps assign owners send reminders and follow up on status to ensure completion and progress.
- Provide persistent follow-through on time-sensitive deliverables.
Project Support
- Assist in the organization of principal requests including staffing lists years-of-service verification dismissal logistics and handbook alignment between schools.
- Maintain and format HR-related trackers (e.g. transfer requests staff licensing evaluation deadlines).
- Assist in organizing and compiling materials for internal planning documents community presentations and School Committee packets.
- Develop and manage spreadsheets related to space planning programmatic offerings and classroom assignments for the 6th Grade Academy and K5 schools.
Communications & Graphic Support
- Assist in drafting internal and external communications to families staff and community members regarding the restructuring and academy transitions.
- Design flyers one-pagers stakeholder summaries and visual tools using Canva or other design platforms.
- Develop internal-facing trackers or FAQs that explain key K6/6th Grade changes and progress updates for central office use.
Operational & Logistics Support
- Support cross-department coordination on the physical movement of classrooms office materials and technology related to the restructuring.
- Collaborate with IT to track Chromebook and tech needs for 6th Grade Academy students and staff.
- Assist in documenting and supporting the reuse or disposal of curriculum materials furniture and equipment between K6 schools and the Regional building.
- Help coordinate inventory and readiness checklists for the new 6th Grade learning environment.
Required Competencies
- Project Management: Ability to organize and track deliverables across large-scale transitions.
- Clerical Excellence: Highly skilled in meeting documentation digital organization and logistics coordination.
- Follow-Through: Consistent and proactive in ensuring accountability for task completion and updates.
- Communication: Strong writing and interpersonal skills; confident in preparing clear summaries and stakeholder-ready documents.
- Graphic Design: Familiarity with Canva Google Slides Publisher or similar platforms to create professional branded materials.
- Team Collaboration: Able to build trusted relationships across central office schools and support departments.
- Confidentiality: Maintains discretion and professionalism especially when handling staffing or student-related information.
Preferred Qualifications
- Associates Degree required; Bachelors Degree preferred.
- Experience supporting restructuring efforts school building transitions or large-scale education projects strongly preferred.
- Prior work in school district operations project-based roles or multi-department coordination a plus.
- Proficiency in Google Workspace Microsoft Office and cloud-based task tracking tools.
- Bilingual or multilingual candidates are encouraged to apply.
