DescriptionThe Metabolism and Lipids Program a clinical and translational research program in the Icahn School of Medicine at Mount Sinai is seeking a highly motivated and detail-oriented Program Assistant with substantial experience in administrative support communications and operations. This individual will provide multifaceted systematized administrative support to the Program Director Robert S. Rosenson MD and other Program faculty staff and fellows.
Responsibilities- Assist in the preparation and submission of abstracts posters and manuscripts. Ensure adherence to formatting and submission guidelines for a variety of scientific journals and conferences.
- Maintain comprehensive conflict of interest (COI)/disclosure database for Program Director and other Program faculty and staff. Regularly submit and update disclosure forms for manuscript submissions conference presentations and other scholarly activities.
- Manage complex scheduling for Program Director and other research team members as needed including domestic and global in-person and virtual meetings conferences and lectures.
- Assist research team with the preparation of PowerPoint presentations/slide decks for local national and international speaking engagements and research conferences.
- Assist Program Director and other research team members with targeted scientific literature reviews.
- Develop and maintain Program-wide publication database using a citation manager tool (i.e. EndNote).
- Lead the initial overhaul and maintenance of the Program Directors curriculum vitae (CV) to ensure up-to-date information and formatting.
- Assist with the development and maintenance of online platforms to promote Program including LinkedIn Instagram ResearchGate etc.
- Prepare and process check requests purchase orders travel requests and travel reimbursement for Program Director and other Program faculty as needed.
- Coordinate and confirm travel arrangements for Program Director other Program faculty and fellows. Prepare comprehensive travel/meeting itineraries.
- Provide administrative support for research recruitment and training activities.
- Transcribe and distribute weekly Program meeting minutes.
- Methodically screen and prioritize incoming mail & email communications for needed action and follow-up.
- Research and compile information for reports including yearly Faculty Scholarly Activity Reports. May assemble and categorize figures for computation and calculations.
- Ensure adequate restock of supplies for the research program. At regular intervals take inventory of lab/office supplies to identify items to be reordered or replenished.
- Investigate evaluate and resolve typical administrative or operational problems or situations affecting the Program Director and other Program faculty as needed.
- Perform other special projects or other duties as requested.
Qualifications- Associate degree Bachelors preferred.
- Required: 1-2 years of related administrative or program support experience
- Required: At least 1 year of experience in a clinical research environment
