Sheehy Toyota of Laurel has an immediate opening for a full-time Automotive Administrative Assistant to join the Finance team. Candidates must be organized highly motivated possess strong work ethics demonstrate good communication skills and be able to multitask effectively.

This position provides vital administrative and financial support to the Finance Department assisting the Finance Manager and finance team with day-to-day operations. The role plays a key part in ensuring the accurate processing of finance documents timely submissions to lenders and seamless coordination between departments. Strong attention to detail confidentiality and a solid understanding of finance-related tasks are essential.

Responsibilities:

• Support the Finance Manager with daily administrative tasks and reporting
• Process and organize deal jackets ensuring all necessary documentation is complete
• Verify the accuracy of financial documents contracts and loan applications
• Submit and track funding packets to lenders following up as needed
• Maintain and update customer records and finance files
• Communicate with lenders banks and customers regarding finance documentation and status updates
• Schedule and confirm customer appointments related to finance or contract signings
• Assist with aftermarket product submissions cancellations and remittances
• Coordinate with the accounting office for reconciliation and payment postings
• Prepare and distribute reports as directed by the Finance Manager
• Perform other administrative duties as assigned

Qualifications:

• High school diploma or equivalent (Associates degree preferred)
• Previous experience in an automotive dealership or finance department is a plus
• Proficient in Microsoft Office Suite (Word Excel Outlook)
• Familiarity with dealership software (e.g. Reynolds & Reynolds) preferred
• Strong organizational and multitasking skills
• Excellent written and verbal communication
• Detail-oriented with a commitment to accuracy
• Ability to maintain confidentiality with sensitive financial information
