This position involves working at our CHS Campus in Modesto providing front desk support and ensuring a welcoming environment for all clients and staff. Position Summary: Receptionist is the first point of contact and is responsible for offering administrative support across the organization coordinate front-desk activities grant access to the building and support the highest level of customer service for clients staff and visitors.
DUTIES:
Duties include but are not limited to the listed core areas and contribute to a team effort by performing other duties and completing special projects as assigned.
Customer Service/Reception
- Greet and connect clients/staff/visitors to the department and/or appropriate personnel in a manner that is helpful courteous and friendly; determine purpose of visit and direct accordingly.
- Answer incoming calls assist callers provide information make community referrals and forward to the appropriate personnel and department.
- Transfer calls to voicemail when appropriate personnel are unavailable if necessary take thorough written messages and deliver messages in a timely manner.
- Retrieve voicemail message from the main console and forward to appropriate personnel.
- Monitor visitor access and maintain a professional and personable demeanor while working with CHS clients in a non-judgmental way.
- Practice confidentiality and privacy procedures in accordance to agency policy and HIPAA requirements.
- Exercise problem solving and conflict resolution skills when handling client complaints; refer client complaints to designated personnel as required.
Office Responsibilities
- Maintain and organize office files desk procedures and work area.
- Ensure the upkeep and keep reading material flyers/brochures current and update date as needed
- Ensure cleanliness of lobby area.
- Ensure all Medi-Caldocumentation is readily available in lobby area and replenish when needed.
- Utilize office equipment in order to complete you tasks: computer systems internet connectivity multiline phone systems photocopiers scanners and printers.
- Perform administrative support tasks such as proofreading; transcribe written information process requests related to the standard program/administrative correspondence which will consist of Spanish translations.
- Conduct opening and closing procedures in accordance with agency policies to ensure safety and security: safeguard keyless entry codes and computer system passwords in strict confidentiality. Maintain appropriate coverage levels by fulfilling assigned opening closing and scheduled shifts which may include providing coverage at other CHS campus locations as needed.
Program Collaboration
- Distribute forms and paperwork to applicants and ensure required fields are completed accordingly.
- Provide accurate information regarding application process and timelines and requirements to both callers and walk-in clients.
- Register new clients and/or update existing client demographics by collecting detailed client information including personal and financial information.
- Utilize office software to schedule new and follow-up appointments for identified clients.
- Verify method of payment for services (including insurance coverage) collect scheduled payments and/or existing balance payment noted in identified database issue receipts keeping records of such payments up-to-date and collect other pertinent information as appropriate.
- Monitor flow of patients ensuring the appointment system accurately reflects the arrival of clients.
- Ensure clients without appointments but whom need an urgent consultation are acknowledged and are assisted in the most appropriate manner.
Safety & Facilities
- Ensure that safety policies and protocols are practiced adhered to and aware of the responsibility of every employee to have regard for safety.
- Support facilities and the maintenance process by reporting encountered problems to ensure the smooth running of the agency.
- Maintain a safe environment by monitoring surrounding enforcing protocols and using good judgement in contacting appropriate personnel as crises occur.
- Participate in ongoing training related to safety de-escalation techniques customer service and other relevant topics to ensure effective and professional front desk operations.
Qualifications
QUALIFICATIONS:
- Bilingual English/Spanish required. Ability to fluently speak read and write in Spanish.
- High School Diploma or GED required. Diploma/GED may be waived with a minimum of 2-3 years of progressively responsible office/secretarial experience.
- Must have the ability to exercise excellent customer service and interpersonal communication skills; cultural sensitivity and demonstrate ability to work with diverse groups.
- Intermediate to advanced phone skills; able to effectively relate via telephone and in-person to serve the needs of clients/staff/guests in a manner that is efficient productive and using good judgment.
- Well-developed verbal and written communication skills in English and Spanish.
- Intermediate computer knowledge of the following programs: Microsoft Office Excel Data Entryand computer skills and knowledge of relevant software programs.
- Ability to work well under pressure with minimal supervision; proven flexibility strong attention to detailand willingness to handle a variety of tasks.
- Ability to handle multiple phone lines.
- Willingness to work evening hours as required.
- Pass agency paid criminal justice screening including fingerprints.
- Pass agency paid TB (Tuberculosis) screening.
- Pass agency paid health screening and/or drug testing if required.
- Valid California drivers license preferred
- Proof of valid auto insurance coverage is required for employees who drive a vehicle during agency work hours.
- Pass agency paid MVR clearance with no more than 2 points - if you are under the age of 25 our insurance company will not allow any points.
