The Alaska State Ombudsman is recruiting for an Intake Assistant to join our team in Anchorage.

About the Position: The Intake Team plays a crucial role serving as the first point of contact with the public. You will communicate with people from a variety of backgrounds through phone calls emails and letters. You will collect information about a wide variety of complaints and present these to investigators. You will think creatively to connect people with the best resources to help find solutions. You will manage a dynamic workload in a public service-oriented environment.

General Position Description:

The Intake Assistant is primarily responsible for communicating with the public collecting information about their problems and determining if the issues presented are jurisdictional for this offices review. You will ask thoughtful questions perform initial research follow up with the complainants as needed and write summaries of the complaints for investigators to review. If complaints are determined to be non-jurisdictional premature or better suited to be handled by another agency you will share referrals to other services with the complainant.

Who we are looking for:

A successful applicant will have some or all of the following competencies:

Interpersonal Skills: Shows understanding professionalism courtesy tact concern and politeness to others; maintains composure when dealing with individuals who are difficult or hostile because they may be distressed; relates well to people from varied backgrounds and different situations; is aware and sensitive to cultural diversity race gender disabilities and other individual differences or backgrounds.

Problem solving: Is able to parse out problems; collects relevant accurate information; uses sound judgment to generate and evaluate alternative solutions and offer viable suggestions for assistance.

Organizational Skills: Can effectively maintain paper and electronic files related to complaints and administrative duties; commits to completing assigned duties on time; demonstrates responsible behavior in performing daily tasks.

This position is full time (37.5 hours per week with the option of 40 hours per week) fully exempt and serves at the pleasure of the Ombudsman. The position will be filled in Anchorage.

Minimum Qualifications

MINIMUM QUALIFICATIONS:

Bachelors Degree preferred with at least one year of experience in a related field such as constituent relations in Alaska state local or federal government; information and referral services; case management or social service navigation; general government experience; or consumer complaint resolution or customer relations.

OR

High school diploma or equivalent AND four years of experience in a related field such as constituent relations in Alaska state local or federal government; information and referral services; general government experience; or consumer complaint resolution or customer relations.

This job class series is in the exempt service is nonpartisan and serves at the pleasure of the Ombudsman.

It is essential that the nonpartisan nature integrity and impartiality of the Alaska State Ombudsmans functions and services be maintained. The Ombudsman and members of the ombudsman staff may not join support or otherwise participate in a partisan political organization faction or activity including but not limited to the making of political contributions. However the Ombudsman and ombudsman staff are not restricted from expressing private opinions outside the workplace registering with a political party or voting.
