Primary Function of Position:
Under the indirect supervision of the Sr Director or VP of Operations provides general administrative assistance helping to optimize his/her time and agenda to be more effective. Assist corporate executives with travel and logistics. Properly communicates and reports internally and externally on behalf of the Sr. Director or VP of Operations. Plans and coordinates all special events in collaboration with HR and other departments. Keeps all confidential documents and records for the Sr. Director or VP of Operations. When needed provide support to staff members on travel arrangements and logistics.
Roles & Responsibilities:
- Direct Administrative Support to Sr. Director or VP of Operations (calendar travel expense reports etc.)
- Coordinator/Project Manager for Events and meetings and internal/external management meetings
- Assist with communications to corporate offices and programs as required
- Serve as project manager for special and ongoing projects
- Generate and distribute meeting minutes
- Assist in the development of presentations and communications
- Identify opportunities for process improvement and drive them to closure
- Maintain department Dashboard Scoreboard Project tracker etc.
- Assist other departments during peak times (i.e. end of qtr.)
- Act as backup for the Administrative Assistant Supervisor
- Manage staff vendor relations agreements and invoices and petty cash
- Attend staff meeting and follow up on task
- Plan and coordinate company events
- Support with travel logistics for different Intuitive locations
- Coordinates shuttle transfers through internal driver or third parties when needed
Qualifications :
Skills Experience Education & Training:
- Minimum of five years experience in an administrative/support role preferably in a medical device company.
- Strong bilingual (English/Spanish) communication skills both verbal and written
- Strong computer skills (Excel/MS Word Powerpoint) prefer experience in computer order processing systems such as Coupa or Concur.
- Ability to independently work in a dynamic fast paced work environment with minimal supervision.
- Must possess excellent communication skills attention to detail and the ability to multitask.
- Willing to travel up to 20%
- Self-starter with the ability to take leadership in an unstructured environment.
- Demonstrated ability to learn new software systems quickly
- Able to maintain and promote a high level of confidentiality
- Ability to effectively collaborate with others to reach mutually agreeable outcomes.
