Position Title: Dispatcher/Secretary
Department: Maintenance and Operations
Reports To: Maintenance Office Manager
FLSA Status: Non-Exempt
SUMMARY:
Provides secretarial and dispatch services for the Office of the Director of Maintenance and Operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Performs general clerical/communication duties.
- Receives all maintenance requests and calls.
- Makes decisions of urgency. Prioritizes and forwards requests to the appropriate foreman personnel or other relevant individuals as needed.
- Maintains a high level of computer skills essential in completing job duties.
- Operates standard office equipment.
- Assists in office operations accounting and procedures.
- Prepares district courier schedule and helps with implementation.
- Collects and organizes information prepares and distributes records and reports manages correspondence and handles mailings related to the departments functions and needs including monthly reports.
- Orders processes and maintains office materials and equipment.
- Prepares requisitions for office supplies and disbursement encumbrances.
- Manages custodial budgets and places custodial orders using WordPress and CSI.
- Works with Administrators and schools regarding scheduling of maintenance needs/issues.
- Records all maintenance receipts in School Dude and uploads them to the Bank of America portal daily.
- Orders new and replacement uniforms for custodial staff district-wide and records invoicing.
- Assists in computerized HVAC energy management systems by setting up maintaining and scheduling systems.
- Reviews and posts of all work orders both completed and in progress.
- Maintains all personnel and payroll reports records and organizational charts.
- Assists the Administration and schools in emergencies including weather tests.
- Performs other duties as may be assigned by the Supervisor.
EDUCATION and/or EXPERIENCE:
High school diploma or general education degree (GED). Knowledge of maintenance terminology. One year of secretarial or office experience or training.
Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
SUPERVISORY RESPONSIBILITIES:
None
LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of district.
MATHEMATICAL SKILLS:
Ability to calculate figures and amounts such as discounts interest commissions proportions percentages area circumference and volume. Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY:
Ability to interpret and apply common sense understanding in carrying out instructions furnished in written oral diagram or schedule form. Ability to analyze information and use logic to address work-related issues and problems. Ability to solve practical problems and deal with a variety of concrete variables in a situation where only limited standardization exists.
OTHER SKILLS and ABILITIES:
Ability to operate a personal computer and related software. Ability to communicate clearly and concisely both orally and in writing. Ability to establish and maintain effective working relationships with employees of the district and the community. Ability to perform duties with awareness of all district requirements and Board of Education policies.
