The Arizona Department of Corrections Rehabilitation & Reentry (ADCRR) is looking for an upbeat multitasker with great communication skills. This position performs moderate to complex administrative support duties for the Time Computation Unit (TCU).
- Composes and types routine correspondence
- Organizes and maintains routine and confidential files correspondence and other records
- Establishes develops maintains and updates the filing system for TCU
- Retrieves information from files when needed
- Acts as a resource to provide information or determines the most effective way of meeting the needs of management staff clients or customers
- Responsible for and processes all intake packets received from reception areas
- Maintains monthly tracking logs and daily counts of all incoming packets
- Maintains tracks and annotates entries in the agencys automated systems for files pulled for releases
- Maintains any Tentative Release (TR) lists for inmates whose release dates are coming up on a weekly or bi-weekly basis
- Reads routes and responds to incoming and outgoing communications including e-mails letters and/or faxes
- Drafts communication responses for the Sentence Calculation Analyst when necessary
- Responds to regularly occurring communications and requests for information from the public the courts the attorney generals office county attorneys and other law enforcement or correctional agencies
- Reads analyzes interprets court documents received and verifies necessary entries in the agencys automated systems to ensure data is accurate for analysts
- Maintains assignment logs completes appropriate filing daily including copying and distribution
- Pulls files for proper distribution or provides them directly to the analyst for immediate action as required
- Assists supports and trains other staff members on the procedures and processes of the unit
- Drives on State business
- Performs other duties appropriate to the assignment

- Routing and memo composition
- Proper English usage spelling vocabulary and arithmetic
- Modern office practices and procedures including filing and standard office equipment operation

- Understanding legal terminology
- Gathering information
- Maintaining and updating inmates files
- Effective phone etiquette
- Researching information and preparing reports

Any employee operating a motor vehicle on State business must possess and retain a current valid class-appropriate drivers license complete all required training and successfully pass all necessary drivers license record checks. The license must be current unexpired and neither revoked nor suspended. Employees who drive on state business are subject to drivers license record checks must maintain acceptable driving records and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R.11).
