As a Project Manager/Coordinator you will play a key role in supporting the consolidation and organization of key vendor contracts/relationships across multiple properties. This role ensures alignment between teams consolidates key reports tracks vendor spend levels and facilitates operational processes to streamline communication. The ideal candidate is highly organized detail-oriented and excels at managing cross-functional workflows in a fast-paced high-end environment.
Key Responsibilities:
- Serve as the central point of coordination between multiple properties ensuring streamlined communication and operational efficiency.
- Track and consolidate high-level vendor spend reports ensuring accuracy and timely updates.
- Support cross-functional teams by gathering and organizing critical data reports and documentation.
- Assist in scheduling and facilitating executive-level meetings compiling action items and following up on deliverables.
- Maintain centralized records and dashboards to track key operational and financial metrics.
- Communicate updates to stakeholders ensuring alignment with brand standards and strategic objectives.
- Identify and escalate potential operational challenges to leadership.
Qualifications :
- 7 years of experience in an operations coordination or administrative role ideally (but not required) within the luxury hospitality real estate or premium services industry.
- Strong organizational and time-management skills with meticulous attention to detail.
- Excellent written and verbal communication skills with a professional and polished approach.
- Procurement experience is preferred (but not required)
- Proficiency in Microsoft Office Suite (Excel PowerPoint Outlook) and project management tools (e.g. Smartsheet Asana ).
- Ability to manage multiple priorities with efficiency and discretion.
- Experience in budget tracking and financial reporting is a plus.
