JOB DESCRIPTION
TITLE: Legal Secretary
QUALIFICATIONS:
- High school diploma or General Education Development (GED) certificate required;
- Associates degree preferred.
- Five years experience as a secretary; or graduation from a recognized school of secretarial skills and two years of job experience.
- Legal office experience and basic knowledge of litigation necessary.
- Ability to perform multiple tasks in a fast-paced executive office.
- Ability to read analyze and interpret general legal periodicals professional journals technical procedures or governmental regulations.
- Ability to write legal reports legal correspondence and procedures manuals.
- Ability to effectively present information and respond to questions from groups of managers clients and the general public.
- Excellent interpersonal skills.
- Ability to apply common sense understanding to carry out instructions furnished in written oral or diagram form.
- Ability to deal with problems involving several concrete variables in standardized
- Proficient in applicable computer programs and Lexis
- Required criminal history background check and proof of U.S. citizenship or legal resident alien status.
REPORTS TO
Deputy Counsel
PERFORMANCE RESPONSIBILITIES
- Takes and timely transcribes dictation of various types including correspondence reports notices recommendations legal pleadings memoranda and briefs.
- Obtains gathers and organizes pertinent data as needed and puts it into usable form.
- Maintains a regular filing system and processes incoming correspondence and telephone calls as instructed.
- Places and receives telephone calls and records messages.
- Maintains legal department budget and request purchase orders through requisitions as required.
- Orders and maintains supplies as needed.
- Maintains a comprehensive and working knowledge of computer systems and programs to include but not limited to: EDUMET Microsoft Office.
- Transmits and receives facsimile information.
- Performs any bookkeeping tasks associated with the specific position.
- Assimilates and prepares payroll reports to include validation and reporting to the Payroll Department on a timely basis.
- Maintains a schedule of appointments and makes arrangements for conferences and interviews for the General Counsel or Deputy Counsel and paralegals as directed.
- Makes travel arrangements for the General Counsel or Deputy Counsel as directed.
- Works with the General Counsel or Deputy Counsel in carrying out the day-to-day operations necessary to the smooth functioning of the district.
- Serves as hostess for selected hearings and meetings.
- Serves as a source of information about the regulations and policies of the legal department.
- Maintains the records of Public Notices and advertisements for audit purposes.
- Works closely with administrative and consultant personnel in providing necessary personnel and financial data for the proper development of plans and programs.
- Performs other duties as assigned by the General Counsel or Deputy Counsel.
TERMS OF EMPLOYMENT
Twelve (12) months; tenurable
Contractual terms and salary to be determined by the Board
Evaluated by the Deputy Counsel at least once each academic year
