Position: Virtual Assistant (Part-Time)
Working Hours: Mondays to Fridays; 5 pm to 9 pm AEDT (2 pm to 6 pm MNL Time or 8 am to 12 pm SAST) 20 hours weekly

Were looking for an experienced tech-savvy Virtual Assistant to manage our holiday home bookings and guest experience while helping to grow our marketing presence. The ideal candidate will bring extensive experience managing premium short-term rentals a knack for automating communications and streamlining systems and bonus points for marketing skills (email content creation Meta ads) to support our growth.
Key Responsibilities:
1. Holiday Home & Booking Management
- Oversee and optimise listings on Airbnb and Guesty.
- Keep calendars pricing and availability fully accurate and consistent across channels.
- Proactively improve workflows automate routine messages guest check-in instructions and review requests where possible.
- Manage security deposits damage claims and guest issue resolution with professionalism and empathy.
2. Guest Communication
- Respond promptly and warmly to guest enquiries via Airbnb WhatsApp and email.
- Send booking confirmations arrival instructions and other key communications in a timely branded way.
- Flag and escalate urgent guest issues quickly.
3. Administrative Support
- Maintain an organised booking tracker with guest details special requests and financials.
- Assist with general admin tasks (vendor follow-ups scheduling research).
4. Marketing & Growth Support (nice-to-have but highly valued)
- Create and schedule email newsletters using Mailchimp.
- Build and maintain simple automations to improve efficiency (e.g. Zapier integrations for guest communications and marketing workflows).
- Assist with social content creation (Canva short-form video editing).
- Help run or coordinate Meta ads (Facebook/Instagram) to drive direct bookings.
Clients Note: Were looking for and highly prefer someone who can automate bookings.
Note:
The booking process for this role is pretty straightforward. The property gets bookings through Airbnb and and those all get organized in a software called Guesty.
Your main job will be managing those booking platforms - keeping the listings up-to-date making sure there are no double-bookings and automating a lot of the guest communication. This includes sending automated emails to guests before they arrive like their check-in instructions and deposit reminders.
Youll also need to send weekly reports to the property owners - one with the cleaning schedule and one summarizing all the bookings. The goal is to use technology to make these repetitive admin tasks as easy as possible.
On a day-to-day basis Mondays will be for sending out those weekly reports. The rest of the week is for handling any questions from guests usually through WhatsApp and working on other small marketing or admin tasks.
The key is setting up efficient automated systems so youre not doing everything manually.
Requirements:
- Proven experience managing premium holiday homes/short-term rentals (Airbnb Guesty).
- Skilled at optimising and automating guest communications and operational workflows.
- Experience managing email systems such as Mailchimp and automation tools like Zapier.
- Excellent written English and professional communication skills.
- Highly organised detail-oriented and proactive able to run operations with minimal supervision.
- Tech-savvy and able to learn new tools quickly.
- Bonus: experience with content creation (Canva) and Meta advertising.
- Responsive openly communicates with the client
- Flexibility to work part-time (20 hrs/week) across Australian and UK business hours when needed
