The Buncombe County Clinical Services team in our Health and Human Services Department is hiring for an Administrative Support Associate IV. This position will be responsible for duties such as fielding calls for STI Immunizations and Family Planning phone lines; updating client immunizations records in state systems; and overseeing the patient check-in process for our immunization clinic.

This position is fully in-office working out of 40 Coxe Avenue Asheville NC 28801 with free onsite parking included. This position will report to our Clinical Services Program Supervisor and work on a team with 10 individuals. The position will work a standard schedule of 40 hours per week with no scheduled overtime. There is an option for scheduling flexibility during the normal workweek.

Purpose of the position:

The purpose of this position is to provide administrative support in a variety of functions requiring specialized skills for a particular program or department within the organization.

Minimum Education Training and/or Experience (required at time of hire): High school diploma or equivalent and a minimum of five (5) years of progressive office experience including customer service experience; or an equivalent combination of education and experience.

Additional Training and Experience: Demonstrated proficiency using computer and programs including Microsoft Office suite at the advanced level including Word Excel Access and PowerPoint. Bilingual Spanish speakers are preferred.

Essential Functions of the position:

  • Perform complex and moderate to difficult clerical work including but not limited to record processing bookkeeping and accounting secretarial and general office support functions involving a variety of tasks.

  • Provide internal and external customer service via phone email and in person; responds to inquiries take messages and refer inquiries to the most appropriate parties.

  • Interpret and explain policies procedures records etc.

  • May maintain appointment calendar(s) and schedule meetings.

  • Use computer software along with internal County programs to process information letters forms reports schedules emails manuals booklets requisitions purchase orders and related paperwork; complete forms and compose letters.

  • Establish and maintain specialized paper and electronic office files file letters reports and related technical or confidential information in a prescribed manner.

  • May accept payments for fees fines goods or services as required by the department and use established regulations for accounting for same; duties may include some bookkeeping.

  • Performance of job duties may require the processing of confidential or sensitive information; assure security and confidentiality of such information and documentation.

  • Routinely conduct research and analysis for unit or special reports or special assignments.

  • Perform other related duties as assigned.

Knowledge Skills Abilities:

  • Knowledge of office or work unit procedures methods and practices.

  • Knowledge of services policies and procedures related to a program or area of specialization.

  • Thorough knowledge of program information systems to communicate and process information.

  • Knowledge of all services provided by programs within the division and the policies and procedures that govern the work of the division.

  • Ability to demonstrate and apply this knowledge in the performance of administrative tasks.

  • Ability to explain and interpret information to clients/customers and staff; Ability to clearly convey information and ideas through a variety of media to individuals or groups.

  • Ability to compile assimilate and organize both printed and electronic information. Ability to apply knowledge of data collection storage organization manipulation and/or analysis of data.

  • Ability to utilize office equipment and other relevant technology (software and systems) to meet organizational needs.

  • Ability to identify and understand issues problems and opportunities; use effective approaches for choosing a course of action or developing appropriate solutions.

  • Ability to present ideas clearly and effectively in written form; ability to adjust language or terminology to meet the needs of the audience; ability to use correct grammar organization and structure.
