Position Overview

As an Office Specialist for the Division of Patrol-Troop 5; develops complex multi-program record and report applications; develops and keyboards complex multi-program record and report applications utilizing knowledge of Windows Internet Explorer and Microsoft Office Suite including Access Excel Teams Outlook and Word; creates keyboards and edits correspondence memos and other original text; serves as Troop liaison to Department of Innovation & Technology for email updates and distribution groups; compiles and provides information to States Attorneys offices Circuit Clerks Office and Probation Office; serves as Troop liaison between the Troop and county States Attorneys Office and Circuit Clerks Office. This includes video requests report requests and relaying subpoenas to officers; retrieves crash report documentation and field reports from the TraCS and iCase program for processing and dissemination; processes all incoming and outgoing mail including updating and balancing postal meter and creates and maintains electronic and paper file systems; creates and maintains electronic and paper file systems; disseminates various documents to outside agencies; creates and maintains frequently used address labels business cards and other documentation for Troop daily operations; receives invoices for Troop expenditures and enters information into SAP program; enters overtime into a database for monthly report to Central Patrol Command; answers and assists sworn and code personnel with paperwork including group insurance workers compensation FMLA deferred compensation etc and forwarding documentation to the appropriate personnel.

Essential Functions

  • Performs complex specialized paraprofessional and technical functions.
  • Responds to telephone and email inquiries and retrieves documentation and video recordings as appropriate.
  • Performs a variety of clerical functions.
  • Performs a variety of paraprofessional duties in the flow and processing of personnel transactions.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge skill and mental development equivalent to two (2) years of secretarial/business college and one year of office experience or completion of high school and three years of office experience or three years of independent business experience.
  • Qualifying state employees in the employee Upward Mobility Program may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.
  • Requires skill in keyboarding accurately at thirty (30) wpm.

Preferred Qualifications

  • Prefers two (2) years of experience with office practices and procedures.
  • Prefer two (2) years of experience with composition grammar spelling and punctuation.
  • Prefers one (1) year of experience with arithmetic computations.
  • Prefers two (2) years of experience with manual and automated office equipment.
  • Prefers two (2) years of experience with agency programs rules and regulations.
  • Prefers two (2) years of experience in instruct guide and train others.
  • Prefers two (2) years of experience in establishing and developing written instructions and procedures.
  • Prefers two (2) years of experience with understanding of ISP Policy ADM 102 and the Freedom of Information Act.
