About the Position

Under general supervision of the Director of Impact & Strategic Innovation the Program Administrative Assistant will provide essential administrative support to the YWomen Prosper Empowerment Program team. This role will facilitate the smooth planning and implementation of the program by assisting with various administrative tasks and ensuring efficient operations.


ESSENTIAL DUTIES

The essential functions include but are not limited to the following:


Administrative Support

  • Assist program staff with scheduling correspondence and document preparation.
  • Manage and organize program files records and databases.
  • Prepare reports and documentation as needed for program activities and meetings.

Operational Assistance

  • Coordinate logistical arrangements for program events meetings and training sessions.
  • Handle general office duties including answering phones and managing emails.

Data Entry and Management

  • Input and update program data into tracking systems and databases.
  • Ensure accuracy and confidentiality of participant and program information.

Communication

  • Serve as a point of contact for internal and external communications related to the program.
  • Facilitate communication between team members and external stakeholders

Race and Social Justice

  • Commitment to YWCA SHR mission.
  • Demonstrate cultural competency and respect for diversity.
  • Provide leadership to YWCA SHRs social justice initiatives by understanding how racism sexism gender inequity and other oppressions play out in institutions and systems.

Additional Duties

  • Adhere to all YWCA SHR policies and procedures.
  • Perform other duties as assigned.

QUALIFICATIONS

Minimum Requirements

Education and Experience

  • High school diploma or equivalent required; associates degree or higher preferred.
  • At least 1 year of experience in an administrative support role.

Other Requirements

  • Must be 18 years of age.
  • Must complete the training programs of YWCA SHR.
  • Must complete a successful background check.

Skills and Competencies

  • Strong organizational and administrative skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite and experience with data management and reporting tools.
  • Attention to detail and ability to handle multiple tasks efficiently.

WORKING CONDITIONS: Work is performed in a typical office environment with a high standard of confidentiality. A typical work week is M-F 9:00am-5:00pm.

  • Specific vision abilities required by this job include close vision distance vision color vision peripheral vision depth perception and the ability to adjust focus.
  • The noise level in the work environment is moderately loud.
  • Physical capability to effectively use and operate various items of office related equipment such as but not limited to a personal computer calculator copier and fax machine.

COMPENSATION: This is a part-time (not to exceed 29 hours per week) hourly position with a pay of $21.15 per hour.
