Job Duties
Under general supervision of the Clerk of Court or designee the Deputy Clerk (Grade 8) performs a wide variety of clerical courtroom and administrative support duties for the Court by following established policies and procedures based upon Virginia statues rules and local ordinances. While working in a high-volume office with frequent deadlines the duties and responsibilities may include but are not limited to data entry receipting payments assisting the judge in the courtroom answering phones and providing customer service at the counter.

Essential functions may include but are not limited to the following:
Uses computer to retrieve court case information and/or update information
Maintain a high level of professionalism and confidentiality
Greets visitors and directs the public to appropriate area
Responds to record requests in a timely manner including certifying documents
Scans and records data into the courts computerized system
Enters pertinent information into the Courts computerized system on all court cases for tracking and documentation of the file
Prepare court dockets for court presentation
Notifies defendants and attorneys of court appearances and prepares subpoenas
Schedules court trials initial arraignments and hearings
Assists judge in courtroom and coordinates courtroom activity
Handles and processes payments of fines/court costs
Answers telephone and responds to request from citizens regarding fines trials and arraignment hearing dates adjudication and other information pertaining to court processes and policies
Receives and routes court documents including Orders Motions etc. to ensure accurate and proper filing
Data entry and alphabetic/numeric filing
Maintains a positive work atmosphere by behaving and communicating in a manner that gets along with customers clients co-workers supervisors and judges
Maintains regular attendance and punctuality
All other assigned duties.
Minimum Qualifications
High school diploma or equivalent required.
Ability to learn quickly and adapt to the courts computer software system
Knowledge/ability to learn court system operations
Ability to identify and initiate work tasks with minimal supervision
Strong attention to detail
Strong grammar writing and verbal communication skills
Ability to organize work set priorities and meet critical court deadlines
Must be able to perform data entry and type accurately
Ability to demonstrate a working knowledge of Microsoft Office programs
The ability to adapt to technological and work environment changes
Possess strong customer skills with the ability to remain calm in stressful situations
Ability to establish and maintain harmonious and effective working relationships with other employees supervisors judges and other departments
A consistent and good record of job attendance and meeting work expectations
Demonstrates flexibility and efficient time management.
Additional Considerations
Most competitive applicants will have considerable court business or office related experience. Applicants should be highly organized and possess significant knowledge skills and abilities in time and performance management. Excellent written and verbal communication skills and advanced knowledge of office automation systems and computer software required.
