Boeing Defense Space and Security (BDS) is seeking a Senior Executive Office Administratorto support the E-7 Program Vice President in Tukwila WA.

The ideal candidate will possess a unique blend of business acumen and the ability to build rapport with key the ideal candidate will thrive in a fast-paced evolving agile organization.

Position Responsibilities:

  • Coordinate and process domestic and international business travel arrangements
  • Monitor designated business travelers logistics
  • Generate expense reports and assist in reconciling corporate credit card charges to ensure timely and accurate reimbursement
  • Collect and compile data to provide visibility of status for travelers review and/or signature
  • Manage and coordinate executive calendars and schedule meetings as requested
  • Plan and coordinate events to include room logistics meeting invites and catering
  • Stay current and knowledgeable on cost policy (allowable versus unallowable charges) travel policy and catering menus
  • Track and maintain information relative to department and business operations
  • Verbally communicate a wide variety of information to multiple audiences
  • Track and maintain designated conference room schedules for availability and efficient use of resources
  • Obtain visitor badges for guests as required
  • Update and maintain various email distribution lists
  • As needed provide support to other members of the programs leadership team

This position is expected to be 100% onsite. The selected candidate will be required to work onsite at one of the listed location options.

This position must meet export control compliance requirements. To meet export control compliance requirements a U.S. Person as defined by 22 C.F.R. 120.15 is required. U.S. Person includes U.S. Citizen lawful permanent resident refugee or asylee.

Basic Qualifications (Required Skills/Experience):

  • 3 years of experience in an Administrative Assistant Executive Assistant or Office Manager role
  • Experience working with executives and senior customers and officials and their administrative team
  • Experience making domestic and/or international travel arrangements and generating expense reports
  • Experience managing dynamic schedules and calendars

Preferred Qualifications (Desired Skills/Experience):

  • Experience working with Concur or similar travel arrangement systems
  • Bachelors degree or equivalent work experience
  • Clear and concise written and oral communication skills
  • Self-motivated and comfortable working in a busy and dynamic environment with competing priorities
  • Ability to prioritize requests effectively and efficiently and work with a sense of urgency
  • Experience supporting event-type logistics such as transportation arrangements catering restaurant hotel reservations and car rentals
  • Experience ordering and maintaining office supplies
  • Experience working directly with DOD/US Government customers
