We work closely with clients and internal teams around the world to deliver smooth efficient and compliant billing processes that support both business success and client relationships.
In this role youll be central to managing electronic billing (eBilling) activities helping ensure that our clients invoices are processed efficiently accurately and in full compliance with firm policies and client requirements.
As an E-Billing Specialist youll support the full eBilling lifecycle from setup and submission through to query resolution and reporting.
Key responsibilities include:
Managing eBilling platforms: Upload and track invoices troubleshoot issues with clients and vendors and ensure timely submission.
Handling queries and rejections: Respond to and resolve client or fee earner billing queries promptly and accurately.
New client setup: Assist with onboarding and configuration of new clients on eBilling systems ensuring compliance with internal and client policies.
Data accuracy: Maintain up-to-date client matter rate and user records within eBilling systems.
Collaboration: Work closely with Finance Billing Credit Control and Pricing teams to meet billing and compliance requirements.
Reporting: Prepare reports and data analyses to support billing efficiency and management insights.
Process improvement: Identify opportunities to streamline billing workflows and enhance automation.
Audit support: Maintain clear and accurate documentation for internal and client audits.
About You
Were looking for a detail-oriented proactive team player who enjoys working with systems numbers and people alike.
Youll be a great fit if you have:
Around 2 years experience in eBilling ideally within a law firm or professional services environment.
Prior experience in Legal Finance or similar financial operations.
A good working knowledge of SAP and Microsoft Excel.
Excellent written and spoken English.
Strong communication skills and the ability to collaborate effectively across teams.
A focus on accuracy deadlines and client service.
Willingness to travel occasionally to the United Kingdom for business purposes.
Experience working with leading legal e-billing systems such as Legal Tracker (Serengeti) Collaborati TyMetrix Passport (DataCert) CounselLink Brightflag CounselGo (SimpleLegal) BillingPoint BusyLamp and Ascent would be a distinct advantage. Familiarity with any of these platforms will be highly beneficial in performing the e-billing specialist role.
Location
Warsaw - hybrid model (two days per week at the office). Training and support will be provided through both Teams and planned visits to London.

Required Experience:
IC
