About the opportunity:
As the Executive Assistant you will be providing a full range of administrative and confidential support to a divisional leadership team as directed by a Vice President.
Responsibilities include:
- Manages the VPs calendar prioritizes meetings schedules assignments and travel arrangements
- Coordinates meetings conferences and training events for the VP and their teams takes and distributes minutes and tracks and follows up on action items using a bring-forward system
- Supports divisional planning including meetings events and task management to ensure deadlines are met.
- Act as lead support for divisions events and supports other divisional events.
- Exercises receiving authority for office administration budgets personnel expenditures and recommends travel options to divisional employees as per policy.
- Participates in confidential meetings chaired by the VP by supporting in preparation of agendas distribution of meeting materials and recording of minutes
- Proofreads edits and finalizes VP correspondence briefing notes policies and reports
- Formats policies guidelines and procedural publications according to CLBC Branding Guidelines and publishes them on the Intranet site
- Manages records in accordance with the Information Management Act and ensures procedures meet Administrative and Operations Records Classification System (ORCS) in the Electronic Document Records Management System (EDRMS)
- Provides EA coverage relief to other VPs and assists with office coverage during unplanned absences vacations and peak workload periods as required
- Checks and updates Time and Leave Management entries for divisional staff as needed
What youll bring:
- Grade 12 Diploma or equivalent education and the completion of Business College or Office Administration program/course
- 3-5 years experience working in an executive office environment supporting senior executive daily
