The Opportunity

The Chief of Staff (CoS) serves as a trusted strategic partner to the CEO of Holiday Oil. This role is responsible for driving alignment focus and execution across the executive team and the broader organization. The CoS will lead critical initiatives streamline communication ensure accountability for key priorities and act as an extension of the CEO in translating vision into actionable strategies. The ideal candidate is a highly organized analytical and collaborative professional who thrives in a fast-paced growth-oriented environment and can balance strategic foresight with operational excellence.


Duties and Responsibilities

Executive Leadership Support

  • Partner closely with the CEO to manage priorities follow through on strategic initiatives and ensure execution of key deliverables.
  • Serve as a thought partner and advisor to the CEO on business planning organizational effectiveness and leadership development
  • Prepare briefing materials presentations and strategic updates for the Board of Directors executive meetings and external stake holders.
  • Manage and coordinate the CEOs calendar agenda and communications to optimize efficiency and decision-making.

Strategic Planning & Alignment

  • Lead or support annual and quarterly strategic planning processes track progress toward company goals and performance metrics.
  • Translate high-level objectives into actionable project plans ensuring accountability and measurable outcomes across departments.
  • Partner with CFO General Counsel VP HR CIO COO and other functional leaders to monitor business health and identify opportunities for improvement.

Cross-Functional Coordination

  • Facilitate effective collaboration across executive leadership to ensure clarity of priorities and resource alignment.
  • Serve as a liaison between the CEO and other leaders ensuring consistent communication and follow-through commitments.
  • Lead or participate in speed projects and cross-departmental initiatives as assigned by the CEO.

Board & Investor Relations

  • Support preparation for Board meetings including agenda management content creation and post-meeting follow-up.
  • Ensure timely and accurate communication between executive leadership the Board of Directors and key external stakeholders.

Organizational Effectiveness

  • Identify process improvements and implement operational enhancements that drive efficiency and scalability.
  • Support leadership development and succession planning initiatives in partnership with HR.
  • Foster a culture of accountability transparency and continuous improvement.

Skills and Education Requirements


Education & Experience

  • Bachelors degree in business administration Management or a related field required MBA or equivalent preferred.
  • 5-7 years of progressive experience in business management strategy or operations-ideally within multi-unit retail or convenience sectors.
  • Experience supporting or partnering with executive leadership teams.
  • Proven ability to lead cross-functional initiatives and drive organizational change.

Skills & Competencies

  • Exceptional organizational and project management skills with the ability to juggle multiple priorities.
  • Strong analytical and problem-solving capabilities.
  • Excellent written and verbal communication skills including executive-level presentations.
  • High emotional intelligence discretion and the ability to build trusted relationships across all levels of the organization.
  • Strategic thinker with a hands-on results-oriented approach.
  • Proficiency in Microsoft Office Suite and project management tools (e.g. Asana or similar).
