POSITION TITLE: PROCUREMENT CLERK I REPORTS TO: PROCUREMENT MANAGER
OVER-TIME STATUS: NON-EXEMPT PAY GRADE: 108
JOB SUMMARY:
Performs basic procurement functions and administrative support duties within the purchasing department to include processing school and department requisitions drafting procurement documents determining proper solicitation method evaluating vendor responses participating in bid-conferences and assisting with the M/WBE program. This position also assists in maintaining contract modules prepares reports and presentations and coordinates meetings. Work is performed under supervision of the Procurement Manager.
ESSENTIAL DUTIES:
- Process purchase requisitions checks for funding appropriate signatures and compliance with State and local purchasing regulations and determines prices and sources of supply
- Assists departments with purchasing activities;
- Determine and review methods of acquisition including method time and place and courier as appropriate.
- Approves requisitions electronically
- Prepare Invitations to Bids
- Develops and researches specifications reviews specifications for clarity accuracy and related necessary information.
- Interviews vendors by the telephone and in person concerning price and availability to requisition items.
- Assists with bid preparation opening and award of bids
- Promotes the M/WBE participation in the contracting and procurement activities through outreach and solicitation
- Creates files and updated vendor files and related documentation
- Adheres to the procurement guidelines of the M/WBE Program policy
- Maintains up-to-date vendor relationships and customer service with vendors and end-users.
- Performs related tasks as required.
EDUCATION AND EXPERIENCE:
High school diploma (or GED) with at least 2 years of experience performing procurement duties preferably in a governmental setting.
MUNIS Financial system experience is preferred.
Bachelors degree in business administration management or a related field is a plus.
