The Administrative Assistant Back Office position is responsible for handling shipments paperwork and interacting with drivers. This position is accountable for updating systems scheduling appointments and assisting with invoicing. This role also ensures compliance with company policies and ensures that operations run smoothly. Responsibilities
1. Logistics Administration - Greet drivers and ensure they have the correct paperwork.
- Book appointments for shipments at our warehouse.
- Help with arranging and following up on truck transports.
- Log in- and outbound shipments in the system and update the planning.
2. Operational Administration - Update machine status and other relevant data in the Warehouse Management System (WMS).
- Create and log work orders in the WMS.
3. Scheduling and Coordination - Coordinate with Client/Account Coordinators on the urgency of work orders.
- Provide input to operations so they can make accurate plans.
- Point of contact for questions on work orders and machine status.
All this is always carried out taking into account our companys quality environmental and health policies. Qualifications - Previous experience in an administrative or logistics role is a plus.
- Strong written and verbal communication skills.
- Excellent organizational and time management abilities.
- Computer literacy with proficiency in Microsoft Office Suite (Word Excel PowerPoint).
- Attention to detail is required to ensure accurate data entry in the WMS.
Compensation - Hourly range: $25.00 $25.00 per hour (non-exempt overtime eligible)
