Accounts Payable Regional Manager - Hybrid Opportunity
This is a hybrid position based at our corporate office in Brentwood TN with on-site work required Monday through Wednesday.
GENERAL SUMMARY OF DUTIES:
The Accounts Payable (AP) Regional Manager plays a pivotal role in managing and coordinating all aspects of AP operations within their assigned region. This role goes beyond traditional invoice processing to include regional team oversight real-time collaboration with facilities ownership of regional communications channels and performance tracking. The AP Regional Manager ensures timely and accurate processing of requests promotes compliance with internal controls and policies and acts as the primary liaison between field users and AP operations.
EDUCATION/REQUIREMENTS:
- Bachelors degree or equivalent experience in finance accounting or business.
- Minimum 35 years of accounts payable experience with at least 1 year in a supervisory or team leadership role.
- Experience supporting multi-location or healthcare environments preferred
KEY RESPONSIBILITIES:
Facility Relationship & Operational Support
- Serve as the primary AP point of contact for facility administrators and materials managers in assigned region.
- Host and lead monthly AP operations calls with each facility within their region.
- Prepare and present standardized metrics and KPI dashboards.
- Maintain and upload meeting agendas attendance and notes to the facilitys SharePoint folder.
- Ensure discussions and follow-up actions align with departmental KPIs and performance metrics.
Request Intake & Resolution Oversight
- Oversee all requests submitted via SmartSheet forms including:
- Check requests
- Supplier setup/change forms
- Credit hold alerts
- Physician distribution profile updates
- Ensure timely delegation and resolution of tickets through AP Team Leads and Coordinators.
- Provide timely updates to field users on request statuses and completions.
Regional Microsoft Teams Channel Management
- Monitor and manage activity in the regions AP Teams channel.
- Respond to urgent issues triage escalations and delegate tasks.
- Communicate resolutions and summaries to both field stakeholders and internal leadership.
Escalation & Exception Handling
- Lead escalation resolution within the region.
- Use the AP Escalation MS Teams group for unresolved issues requiring cross-functional or senior-level involvement.
- Engage the AP Director only when tie-breaker decisions or external department collaboration is necessary.
Performance Management & Compliance
- Monitor and ensure adherence to KPI targets:
- Conduct root cause analysis for exceptions and delays.
- Ensure compliance with internal controls policies and regulatory standards.
- Maintain accurate documentation within SharePoint and SmartSheet.
- Meet all departmental performance management and compliance expectations including those outlined in future service level agreement (SLA) or performance standards documentation.
Team Leadership
- Supervise coach and support AP Team Leads and AP Coordinators in daily operations.
- Provide real-time guidance performance feedback and professional development support.
SOP & Process Adherence
- Implement and enforce standard operating procedures for AP facility support.
- Ensure onboarding checklist completion for new staff.
- Lead adherence to standardized escalation pathways and documentation protocols.
