Job Summary

This role is 100% remote and based anywhere in the United States ideally in the East Coast Timezone (EDT).

Our client is an independent Registered Investment Adviser that provides customized investment management solutions and comprehensive wealth management plans for institutional investors individuals and family offices. They are consistently recognized in the industry for sophisticated wealth management research capabilities and the delivery of an exceptional client experience.

They are seeking a highly organized tech-savvyExecutive Assistantto provide comprehensive administrative support to the CEO. The ideal candidate will excel at calendar management virtual communication and leveraging technology to streamline operations.

Responsibilities

  • Manage and coordinate complex executive calendars ensuring efficient scheduling across multiple time zones and priorities.
  • Proactively identify and resolve potential scheduling conflicts to maximize leaders productivity.
  • Organize and prepare materials for virtual meetings including agendas presentations and follow-up documentation.
  • Maintain and update records files and contact databases using cloud-based systems.
  • Arrange travel logistics including flights accommodations and itineraries.
  • Monitor incoming communications (emails calls messages) and respond or redirect appropriately.
  • Coordinate project deadlines and track action items with attention to detail.
  • Support special projects by researching organizing data and preparing summaries.
  • Use productivity tools (e.g. Microsoft 365 Zoom CRM platforms) to manage tasks and facilitate collaboration.

Qualifications

  • Proven experience as an Executive Assistant Administrative Assistant or comparable role supporting senior leaders.
  • Exceptional calendar management skills including experience handling complex high-volume scheduling needs.
  • Strong technical proficiency
  • Excellent written and verbal communication skills.
  • Ability to work independently in a fully remote environment and manage multiple priorities.
  • Discretion with sensitive information and a commitment to confidentiality.
  • Prior remote work experience strongly preferred.
  • Social Media & Digital Presence:
    • Oversee and implement the CEOs social media strategy
    • Create and curate content to elevate brand visibility and engagement
    • Analyze performance metrics and adjust strategy accordingly
