The Warehouse HR & Administrator is the critical support pillar for our fulfillment center ensuring smooth administrative and personnel operations. You will be responsible for meticulous record-keeping managing all key documentation supporting payroll and timekeeping and overseeing the onboarding/offboarding of warehouse staff. This hands-on role requires high-level proficiency in MS Excel and WMS to maintain data integrity track expenses and generate essential operational performance reports directly contributing to the efficiency of our e-commerce logistics.
What Youll Do
- Administrative Documentation and Filing: Manage and maintain all critical warehouse records including shipping documentation vendor contracts inventory reports and operational paperwork ensuring files are organized and easily accessible.
- Timekeeping and Payroll Support: Collect verify and process daily staff attendance shift records and leave requests. Liaise with the central HR/Finance department to ensure accurate and timely processing of warehouse employee wages.
- Expense Tracking and Invoice Processing: Assist in tracking and processing warehouse-related expenses including utilities maintenance costs and supply orders. Prepare and verify invoices for approval by the management team.
- Office Supply and Equipment Management: Manage inventory and procurement of all necessary office supplies equipment and administrative tools for the warehouse team.
- New Hire Onboarding and Offboarding: Coordinate the administrative aspects of the onboarding process for new warehouse staff including preparing induction paperwork assigning lockers/equipment and assisting with system access.
- Communication and Coordination: Serve as the main point of contact for administrative inquiries routing communication between the warehouse operations team and corporate departments (HR Finance IT).
- Data Entry and Reporting: Perform accurate and timely data entry for various departmental reports (e.g. productivity costs staffing) using Microsoft Office and the Warehouse Management System (WMS).
- Working Schedule & Ad-Hoc Tasks: Be available for work on Sales Campaign period to ensure continuous and efficient operations. Be prepared to take on additional ad-hoc duties and special projects as required to support the dynamic needs of the business.
Who You Are
- Experience: At least 1-2 years of hands-on experience in a high-volume administrative clerical or data entry role preferably within a logistics warehousing or supply chain environment.
- Technical Proficiency: Demonstrated ability to work with Warehouse Management Systems (WMS) and e-commerce dashboards. Must be proficient in using software for managing key documents like Purchase Orders (POs) Delivery Orders (DOs) and Goods Receipt Notes (GRNs).
- Data Entry and Systems Proficiency: Exceptional speed and accuracy in data entry and high-level proficiency in MS Excel (e.g. VLOOKUP Pivot Tables basic formulas) for generating and manipulating daily operational reports.
- Data Proficiency and Reporting: Competence in tracking analyzing and reporting on Quality KPIs (e.g. Order Accuracy Rate Damage Rate Error per K-Line) using tools like MS Excel to drive performance improvements.
- Documentation and Record Keeping: Meticulous organizational skills to manage file and audit physical and digital warehouse documentation (e.g. customs forms proof of delivery) for compliance and traceability.
- Communication & Problem-Solving: Strong communication skills to effectively coordinate with logistics partners and internal teams. Must be proactive in identifying and resolving inventory issues quickly and efficiently.
- Physical Stamina and Flexibility: Ability to perform physical tasks including lifting and moving moderately heavy items and flexibility to work extended hours or rotating shifts as dictated by high-volume periods (e.g. holiday sales double digit sales) or operational needs.
