Be the backbone of our Operations team keeping things running smoothly and efficiently. Organise and coordinate day-to-day tasks support key projects and gain hands-on experience across core business operations. The Operations Assistant is a foundational role that provides critical support to the Operations team while offering an excellent opportunity to develop skills and grow within business operations.

Please Note: We believe in the value of in-person collaboration! This is a full-time on-site role at our Melbourne CBD office where youll work closely with our dynamic team to drive innovation and growth.

What you will do:

Operational Support

• Provide reliable administrative and coordination support across all areas of operations including project tracking documentation and stakeholder communication.
• Maintain and update team documents templates and checklists to support consistency and efficiency.
• Track progress and task completion in tools such as Notion Jira and Confluence to help ensure project visibility and accountability.
• Assist with planning and organisation of team events workshops and team-building activities.
• Coordinate travel arrangements and logistics for operations and cross-functional projects.
• Collect and share recruitment travel and project-related information from across operational teams to keep workflows aligned.

Operational Assistance

• Support clear team communication by sending updates reminders and follow-ups on key tasks and deadlines.
• Gather data and inputs from other teams to help prepare operational reports and summaries.
• Maintain up-to-date records and logs including onboarding checklists training completions and supplier contact details.
• Assist in organising internal activities that contribute to team engagement and smooth day-to-day operations.
• Process and Documentation Support
• Help maintain knowledge management systems by formatting and uploading SOPs process documents and shared resources.
• Conduct light quality checks to ensure documentation is accurate and up to date.
• Support onboarding and offboarding by tracking checklists managing assets and coordinating with relevant teams.

Project Support

• Contribute to success of projects that improve operational workflows or enhance team efficiency.
• Assist in preparing internal presentations and slides ensuring materials are clear and well-formatted.
• Provide general administrative and coordination support for operational initiatives as directed by the Operations Specialist or team leads.

Cross-Functional Coordination

• Build positive working relationships with Department Heads and team members to support project delivery and operational alignment.
• Assist with organising regular operational meetings tracking action items and circulating updates to keep stakeholders informed.

What you will bring:

• Proven track record in leading or supporting process improvement initiatives to enhance operational efficiency.
• Experienced in developing and maintaining SOPs process maps and operational frameworks.
• Skilled in tools such as Confluence Jira and Notion for documentation project tracking and team collaboration.
• Strategic thinker with strong attention to detail and problem-solving abilities.
• Excellent written and verbal communication skills.
• Strong organisational and stakeholder management capabilities.
• Able to work independently while managing multiple priorities effectively.
