The Senior Executive Warehouse Operation (Outbound) is a hands-on detail-oriented role responsible for supervising and executing the entire order fulfillment and shipping process for AnyMind Groups e-commerce operations. This position ensures that customer orders are accurately and promptly picked packed and dispatched according to schedule maintaining the highest quality and accuracy standards. You will leverage Warehouse Management Systems (WMS) manage coordination with 3PLs/carriers and be a key player in maintaining inventory accuracy and operational efficiency especially crucial during high-volume sales campaigns.
What Youll Do
- Manage and Execute Order Fulfillment (Picking & Packing): Oversee and monitor staff execution of the entire outbound workflow ensuring the accurate and timely picking packing and sorting of customer orders according to the delivery schedule and quality standards.
- Dispatch and Shipping Coordination: Prepare shipments for dispatch generate accurate shipping labels manifest documents and coordinate with various third-party logistics (3PL) providers and couriers for timely order collection.
- Inventory Control for Outbound: Maintain inventory accuracy during the fulfillment process by properly scanning and updating stock levels in the Warehouse Management System (WMS) as items are picked and shipped.
- Quality and Accuracy Assurance: Conduct final quality checks on packed orders to prevent picking errors damage or mis-shipments ensuring the correct product reaches the customer.
- Reverse Logistics (Returns Processing): Collab with the QC/QA executive and assist with the initial processing of customer returns (inbound to the warehouse) including receiving inspection and recording the items back into the system or designated area.
- Maintain Operational Efficiency and Safety: Ensure that all outbound work areas are organized and clean and strictly adhere to all warehouse safety and operational procedures to maintain a safe and efficient working environment.
- Troubleshooting and Reporting: Identify and resolve issues that cause delays in shipping (e.g. system errors stock-outs labeling problems) and report daily on key outbound metrics like orders shipped and on-time dispatch rate.
- Working Schedule & Ad-Hoc Tasks: Be available for work on Sales Campaign period to ensure continuous and efficient operations. Be prepared to take on additional ad-hoc duties and special projects as required to support the dynamic needs of the business.
Who You Are
- Experience: At least 1-2 years of hands-on experience in a high-volume warehouse environment specifically managing or supervising picking packing sorting and shipping operations ideally within the e-commerce sector.
- Technical Proficiency: Demonstrated ability to work with Warehouse Management Systems (WMS) and e-commerce dashboards. Must be proficient in using software for inventory tracking order management and shipping label generation.
- Data Analysis and Reporting: Competence in data entry and basic analysis using tools like Microsoft Excel to track key performance indicators (KPIs) such as On-Time Shipping Cost Per Order Cycle Time and provide actionable reports for continuous process improvement
- Quality Control and Accuracy Focus: Strong attention to detail with a focus on reducing picking/packing errors (shipment accuracy) and minimizing customer returns due to fulfillment mistakes.
- Carrier and Logistics Management: Experience in coordinating and managing relationships with multiple third-party logistics (3PL) partners and shipping carriers to meet service level agreements (SLAs) and optimize shipping costs.
- Communication & Problem-Solving: Strong communication skills to effectively coordinate with logistics partners and internal teams. Must be proactive in identifying and resolving outbound issues quickly and efficiently.
- Deadline and Peak Season Management: Proven ability to work effectively under pressure and manage operations during high-volume periods (e.g. holiday sales double digit sales) to ensure all orders are dispatched on time.
- Physical Stamina and Flexibility: Ability to perform physical tasks including lifting and moving moderately heavy items and flexibility to work extended hours or rotating shifts as dictated by high-volume periods (e.g. holiday sales double digit sales) or operational needs.
