About the team youll be part of

The Information Rights Team covering Freedom of Information and Subject Access Requests Environmental Information Regulations and wider Governance & Accountability work as needed.

The purpose and scope of the role

The Information Rights Advisor will be part of a small team fulfilling a range of Freedom of Information (FOI) Environmental Information Regulations (EIR) requests and Subject Access Requests spanning all of Ofcoms remit.

Youll be working with a wide range of colleagues across the organisation and closely with our legal advisers. The team also deals with other work within the wide range of responsibilities in the Governance & Accountability Team including some data protection responsibilities. This role will include some compliance work including Corporation Secretary complaints and Data Protection breach work.

Your Key Responsibilities

  • Working closely with senior decision-makers and the legal team youll need to manage a large number of requests for information through to completion and maintain good record keeping. You will be networking and collaborating with colleagues to locate information research answers and respond to requests within statutory time limits.
  • Youll use your understanding of FOI EIR and subject access requests to draft replies incorporating the information and views from subject matter experts and advice from legal colleagues.
  • Respond to requests for assistance and guidance from colleagues through the organisation including a wide range of queries relating to information rights.
  • Youll need to establish a rapport with the network of internal FOI representatives and other colleagues through the organisation encouraging them to seek help guidance and direction from the Information Rights team.
  • Youll be logging assigning and ensuring case records are updated via the case handling system (Salesforce) and producing business reports as required.
  • Working with the team youll be arranging meetings preparing agendas taking notes interpreting and applying information you have been given to your letters. You may occasionally be creating content for internal training events and other presentations.
  • Monitoring of replying to and distributing emails from the Information Requests inbox to Salesforce and colleagues during the team managers absence.
  • Generating reports on FOI/BAU/DPA cases etc. from Salesforce during the team managers absence and distributing to Senior Management. Then providing additional information on these cases as and when required.
  • Providing cover and assisting the Data Governance Manager with data breach cases both internal and external; working with colleagues internally and to external stakeholders if required to resolve any potential data breaches.
  • Monitoring and actioning items in the Corporation Secretarys inbox during the Compliance managers absence and to support generally.

The skills knowledge and experience youll need for success

  • A clear understanding of FOI EIR and data protection (including Subject Access Requests) or a willingness to learn; a good understanding of Ofcoms responsibilities and duties; and be able to successfully project manage and prioritise a busy case workload within strict deadlines and with accuracy and attention to detail. Youll have good networking and interpersonal skills and a calm professional approach so you are able to manage a number of requests at the same time. It would be helpful if you have experience of Salesforce.
