Front Desk Receptionist Personal Injury
Location: Charlotte NC (In Office) Schedule: MonFri 8:30 AM 5:30 PM Full-Time
Speaks Law Firm is seeking a motivated and client-focused Front DeskReceptionist to join our Charlotte team. As the first point of contact you will play a key role in creating a welcoming environment for clients and supporting the smooth operation of our office.
No phone calls or recruiter inquiries please.
Responsibilities
Front Desk Support
- Greet clients and visitors with professionalism and compassion.
- Operate a multi-line phone system: answer calls assist callers relay accurate messages and connect to appropriate contacts.
- Assist with scheduling and confirming appointments.
- Promptly direct outgoing/incoming mail faxes and deliveries to intended recipients.
- Maintain tidy and welcoming public spaces (lobby meeting rooms bathrooms break areas).
- Prepare meeting rooms documents and arrange refreshments as needed.
- Support administrative needs: copying scanning faxing emailing and note taking.
- Meet with clients for notary services.
- Coordinate with staff as needed for client check execution and releases.
Client Communication & Coordination- Maintain effective communication with clients attorneys and legal staff.
- Provide assistance and guidance insuring clarity and comfort for all visitors.
- Support the execution of all daily operations with urgency and attention to detail.
QualificationsRequired:- High School Diploma or GED.
- 2 years of customer service or front desk experience preferably in a law firm.
- Excellent interpersonal and communication skills.
- Intermediate computer skills (Microsoft Office Suite).
- Strong organizational skills and attention to detail.
- Professional demeanor and appearance.
- A strong passion to help others and achieve best outcomes.
Preferred:- Associates degree or higher.
- NC Notary Public (or willingness to obtain within six months).
- Familiarity with legal language and processes.
- Bilingual - Fluent in Spanish and English a plus.
