Provide expert-level administrative support and leadership to the team leveraging over 11 years of experience to ensure seamless operations enhance organizational efficiency and maintain a high standard of professionalism. This role requires exceptional organizational communication and technical skills to support executive and departmental needs effectively.
Key ResponsibilitiesDeliver comprehensive administrative and operational support to leadership and cross-functional teams.
Prepare monthly procurement card expense statements and ensure timely submission and reconciliation.
Manage executive and departmental calendars scheduling meetings appointments and events efficiently.
Plan and organize meetings including agenda preparation catering coordination and logistics management.
Process invoice reconciliation check requests and expense reports in compliance with company policies.
Coordinate video conferences (Teams Zoom etc.) including scheduling setup and technical support.
Arrange domestic and international travel including itineraries accommodations and expense tracking.
Maintain and update SharePoint sites TEAMS sites and S: Drive folders for document control and collaboration.
Oversee office and breakroom supply inventory ensuring availability and cost efficiency.
Manage Outlook distribution lists and user access for SharePoint and TEAMS platforms.
Prepare edit and review complex documents presentations and reports with a high level of accuracy.
Conduct research data analysis and report compilation to support executive decision-making.
Handle confidential and sensitive information with discretion professionalism and integrity.
Serve as the primary point of contact for internal and external stakeholders ensuring clear communication and professional interactions.
Outstanding communication and interpersonal skills with the ability to interact effectively across all levels.
Advanced proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and other relevant tools.
Strong organizational and time management abilities with a proven ability to multitask and prioritize.
High level of accuracy attention to detail and commitment to confidentiality.
Demonstrated ability to support leadership in fast-paced dynamic environments.
