Job Responsibilities
Reporting directly to the Assistant Registrar the Vault Attendant supports the College community by maintaining and securing physical student records in accordance with established retention and security protocols. This position serves as a subject matter expert for the electronic document management system and works closely with the Transcript and Enrollment Verification unit on matters related to archived records. A key responsibility of the Vault Attendant is to prioritize and coordinate the systematic scanning and digitization of records stored in the student records vault thereby enhancing accessibility and preservation.
- Coordinates and prioritizes the digitization of student records in the effort to expedite the scanning of all remaining paper files.
- Practices are sound and effective both internally and externally in customer service.
- Ensures the organization and integrity of the Student Records Vault including oversight of related processes procedures and retention policies.
- Onboards trains and oversees Registrars office work studies as needed.
- Serves as office expert for electronic document management system and collaborates with IT and Enterprise Services to streamline and troubleshoot all related software and hardware issues.
- Pursues appropriate professional development opportunities. Assists with enrollment-related questions/processes and other duties as assigned.
Minimum and Additional Requirements
This position requires a high school diploma and work experience that is directly related to the area of employment. A bachelors degree may be substituted for the related work experience.
Preferred Qualifications
Knowledge of and ability to apply strong customer service principles and practices; familiarity with Microsoft office suite applications especially Word and Excel; basic keyboarding skills; ability to work efffectively with others in a team environment; sound organizational and task/time management skills; sound judgement and decision making skills; strong alpha/numeric ordering and sorting skills; familiarity with varying records formats to include film hardcopy microfiche digital and electronic media; and the ability to effectively handle highly confidential data are all expected. Specific knowledge of Ellucians Colleague product is a plus. The position requires the ability to work independently within established parameters as well as the ability to exercise discretion as appropriate. Fast-paced diverse work environment. Limited lifting of materials and the ability to safely use a step ladder are required.
