Job Description

Primarily responsible for operating multiline telephone system to answer incoming calls and directs callers to appropriate personnel. Greets visitors and determines nature of business. Responsible for performing the administrative functions required for the commercial division office. General accounting questions of the branch may also be directed to this person. $23.00-$26.00. 7am-4pm M-F.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Answers incoming telephone calls on a professional manner determines purpose of callers and forwards calls to appropriate personnel or department.
  • Receives sorts and routes mail.
  • Coordinating schedules for the conference room.
  • Performs other clerical duties as needed such as filing photocopying collating etc.
  • Monitor office supplies and place orders when necessary.
  • Maintain the office in an organized and professional manner.
  • Prepare edit report for the branch operation manager to review.
  • Print and mail invoices.
  • Resolve reconcile and prepare the deposit for cash and credit card sales.
  • Receive purchase orders into the computer system.
  • Resolve receiving discrepancies and report them to the A/P department.
  • Prepare deposits for money received for payment on account and fax this information to the A/R department.
  • Print negative on hand report for the branch operation manager to review (at least weekly).
  • Print open order report for the branch operation manager to review (at least monthly).
  • Print open transfer report for the branch operation manager to review.
  • Assist in researching pick tickets as needed by audits.
  • Place and work open warranty tickets.
  • Work accounts payable bucket create purchase orders.
  • Assist with backorders aged orders and non-stock inventory.

    QUALIFICATIONS: To perform this job successfully an individual must be able to perform each essential duty satisfactorily.     • High School diploma or GED equivalent required two years of relevant experience or any combination of education and experience that demonstrates the ability to perform essential duties and responsibilities.
    • Intermediate experience with MS Office including Word Excel and Outlook.
    • Familiarity with office machines (e.g. fax printer etc.)
    • Must be customer oriented and motivated with excellent oral and written communication skills. Strong communication skills are critical as this position is in constant contact with both customers and other employees located at all branches and departments of the company.
    • Strong organizational skills and ability to prioritize and manage multiple tasks under time constraints and strict deadlines.
    • Experience with Harris Data Systems a plus.
    • Ability to pass background check and drug screen.

    LANGUAGE SKILLS: Ability to effectively communicate with customers and staff to make an accurate assessment of customer needs.

    MATHEMATICAL SKILLS: Ability to perform mathematical calculations required to accurately complete assigned tasks.

    COMPUTER SKILLS: To perform this job successfully an individual should have intermediate level knowledge of Word Processing software and Spreadsheet software.

    REASONING ABILITY: Ability to interpret a variety of instructions furnished in oral or written form. Ability to use sound judgment and problem-solving skills.

    ATTENDANCE DEMANDS: The attendance demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

    Attendance is required Monday through Friday 8:00 A.M. to 5:00 P.M. or within normal business hours as established by the supervisor. Overtime may be required occasionally.
