The Procurement Specialist is responsible for managing the procurement cycle ensuring timely acquisition of goods and services maintaining effective supplier coordination and ensuring compliance with organizational policies. The role plays a key function in cost control vendor management and driving
continuous improvement in procurement operations.
Review and process purchase requisitions ensuring accuracy and policy compliance.
Coordinate with end users to issue Requests for Quotations (RFQs) Requests for Proposals (RFPs) and tender documents.
Analyze supplier quotations conduct negotiations and award contracts in line with company objectives.
Prepare and issue accurate timely Purchase Orders (POs).
Conduct market research and product evaluations to support informed purchasing decisions.
Identify cost-saving opportunities and negotiate with suppliers to maximize value.
Monitor order progress and follow up to prevent delays.
Maintain open communication with internal stakeholders and external vendors to meet evolving needs.
Set up and maintain vendor records in the procurement system.
Track and report Local Purchase Order (LPO) balances and generate monthly reports.
Support continuous improvement initiatives to enhance procurement practices.
Ensure full compliance with internal audit and regulatory requirements; address non-compliance proactively.
Analyze market and delivery trends to refine procurement strategies.
Perform other procurement-related tasks as assigned by the line manager.
Requirements
Education:
Bachelors degree in Business Administration Commerce Supply Chain Management or a related
field.
Experience:
Minimum of 3 years of relevant experience in procurement preferably within engineering or business sectors.
Proficiency in Microsoft Office Suite and ERP systems.
Strong knowledge of procurement principles practices and industry standards.
Excellent communication negotiation and interpersonal skills.
Strong analytical and planning capabilities.
Preferred Certifications:
Certified Professional in Supply Management (CPSM)
Certified Supply Chain Professional (CSCP) APICS/ASCM
Diploma in Procurement and Supply CIPS
Procurement Management Certification International Institute of Procurement and Market Research (IIPMR)
