We are seeking a professional enthusiastic and friendly Administrative Assistant / Receptionist to join our team in the Burlington office. The successful candidate will play a key role in creating a welcoming environment for visitors maintaining common office areas and providing a wide range of administrative support to ensure the smooth operation of the office.
This is a part-time or casual position.
Primary Responsibilities:
Reception & Client Service
- Greet and welcome visitors and clients professionally
- Receive and distribute courier and mail deliveries
- Maintain a clean and presentable reception area and overall office space (e.g. boardrooms)
- Coordinate and schedule conference rooms including ordering lunches and preparing beverages when required (both onsite and offsite meetings)
- Manage security fobs
- Assist with daily staff workstation assignments
- Assist with new staff introduction and setup
- Answer and screen telephone calls or forward them as appropriate
General Office Administration
- Ensure kitchen and coffee areas are stocked and kept tidy
- Order and manage office supplies through external vendors
- Prepare and format documents such as letters memos and engineering specifications
- Perform general clerical duties including petty cash handling and processing invoices to the finance department
- Coordinate with Building Management for general maintenance and repair needs in the office
Qualifications :
- Previous experience in an administrative or receptionist role (preferably in a professional office environment)
- Friendly and positive demeanour with strong interpersonal skills
- Proactive adaptable and able to take initiative
- Excellent organizational and time management skills
- Strong verbal and written communication abilities
- Proficient in Microsoft Office (Word Excel PowerPoint Outlook) Adobe Acrobat Teams and SharePoint
- Ability to manage multiple priorities while maintaining high attention to detail
- Demonstrated ability to work independently and as part of a collaborative team
