Job Summary

The Office Manager is responsible for managing all administrative activities receptionist duties and facilitating the efficient running of the office in addition to assisting with event management. The day-to-day activities can vary from helping to get lunch orders maintain office shared drives to assisting with the smooth coordination and running of meetings during the hours of 8:30am to 5:00pm.

This role will suit an organised motivated forward thinking & mature minded individual that is passionate about maintaining an organised office whilst promoting GYGs values and displaying energy and enthusiasm for the unique brand.

What you can expect in the role:

  • Full Reception duties.
  • Scanning & Filing.
  • Maintaining office supplies and equipment.
  • Organising and scheduling meetings and appointments. Ensure required resources are available for meetings.
  • Organising regular Head Office lunch/catering order.
  • Managing and coordinating all postal & courier matters
  • Assisting to ensure smooth running of Head Office at all times including liaison with building management when necessary
  • Merch and uniform ordering for employees.

Provide high level administrative support for members of the Leadership Team.
This will include (but not limited to):

  • Booking of travel and accommodation.
  • Preparing reports documentation and presentation using Microsoft Office software (e.g. excel powerpoint word).
  • Organising and scheduling meeting rooms for Leadership team as required.
  • Undertaking special projects for Leadership Team and Executive Assistant.
  • Assist with quarterly board meeting preparations
  • Plan and manage a range of events for GYG Corporate Head Office
  • Coordinate services (e.g. catering AV equipment printing security transporting) and resolve any problems that arise.

Youll enjoy this role if you have:

  • Experience in Reception or Office Manager role (not essential but administrative experience is a bonus)
  • A can-do attitude and desire to work in a diverse fast-paced office
  • Excellent written and verbal communication skills
  • Excellent customer service skills
  • Sound computer literacy with excellent working knowledge of Microsoft office
