Job Description

Be a Star at Straz Center for the Performing Arts!

Straz Center is seeking a Donor Relations Coordinator to join our development team. This position provides excellent customer service and stewardship to Straz Center donors in support of the Development departments fundraising goals and strategies. The Donor Relations Coordinator handles concierge ticketing and reservations for donors at $1000 levels responds to inbound inquiries and ensures fulfillment of donor benefits. The Coordinator assists with receiving new and renewed gifts and proactively engages with mid-level and leadership-level donors to nurture donor loyalty and foster personal relationships.

The position works collaboratively to ensure consistent well-executed customer service practices and completes administrative tasks in support of overall stewardship efforts. This dynamic position requires the ability to anticipate donors needs think critically and offer solutions to problems with a high level of professionalism and discernment.

Essential Functions:

Ticketing

  • Maintains comprehensive understanding of Straz Center programs and ticketing policies to effectively handle ticket sales exchanges and dining reservations for donors who give $1000; coordinates with Ticket Sales Office and Individual Giving team to ensure exceptional service during donor presales.
  • Handles other ticketing requests as required for luxury box holders sponsors prospects board members and Straz Center VIPs.
  • Coordinates season ticket renewals for qualified donors including receipts of annual gifts when required as part of the renewal process.
  • Documents and assists with the season ticket seat upgrade process and requests and manages fulfillment.
  • Responsible for managing incoming requests received by multiple phone extensions and dedicated email in-box and responding in a timely manner.

Gift Receipt and Benefit Fulfillment

  • Maintains working knowledge of annual giving programs and related benefits.
  • Receives and documents new and renewing gifts; directs calls to gift officers for gifts of $2500 as needed.
  • Answers questions by phone and email regarding annual donor benefits and handles inbound requests from current annual donors.
  • Documents donor conversations/giving information in CRM moves management system; provides gift officers with donor updates and information on qualified leads.
  • Uses discretion to determine best course of action for trouble-shooting donor-related issues and escalates situations to supervisor or appropriate gift officer as needed.

Stewardship

  • Inbound stewardship: responds courteously accurately and in a timely fashion to all requests and inquiries by appropriate communications channels.
  • Outbound stewardship: proactively initiates personal thank-you and welcome calls periodic check-ins and benefits review with donors to strengthen relationships.
  • Participates in Bravo Club staff shifts as needed during performances.
  • Assists with the execution of donor stewardship events and activities.

General/Administrative

  • Performs clean-up on donor records.
  • Prepares and deploys pre-performance reminders and reports tracking donor attendance. Assists with post-performance tracking of donor fulfillment and stewardship efforts.
  • Assists with scheduling of donor lounge; sends notifications as necessary to donors regarding lounge closures.
  • Maintains accurate records and documentation of all correspondence with donors.
  • Assists with guest data management for fundraising events or other special event projects.

Secondary Functions:

  • Contributes to overall team effort in planning and development and shares in the decision-making process implementing and promoting all decisions in a spirit of cooperation.
  • Assists in departmental functions and special events and performs other duties when necessary to assure the overall smooth operation of the department.

Minimum Qualifications (Knowledge Skills and Abilities):

  • Able to engage with a wide range of people build rapport and exhibit courtesy tact and professionalism.
  • Able to work independently and as a member of a team multitask and adapt to changes in a fast-paced environment.
  • Preferred prior experience with fundraising CRMs and/or ticketing software (Tessitura).
  • Proficient with Microsoft Office suite.
  • Fundamental understanding of fundraising concepts preferred.
  • Able to work flexible hours including nights and weekends.
  • Exceptional interpersonal and communication skills fostering productive relationships with colleagues and clients.

Education and Work Experience:

  • Bachelors degree or any equivalent combination of training and experience.
  • One to two years experience in fundraising ticket sales or other customer service focused role.
