Job Duties:

This position provides administrative support to several departments within the College of Arts Humanities and Social Sciences. Primary support is offered to the Humanities Applied Writing and English and Communication departments with direct backup support for Art Music and Theatre & Dance and occasional support for Public and Environmental Affairs Democracy and Justice Studies and Psychology. Responsibilities include managing daily office operations purchasing and invoicing and assisting faculty and staff with various needs including travel assistance.

The Academic Department Associate serves as the primary point of contact for administrators department chairs faculty staff and external partners. A key aspect of this role is working collaboratively with other Academic Department Assistants and the Dean Assistant to ensure consistent efficient and high-quality support across the college. This includes coordinating on shared responsibilities providing backup when needed and contributing to a supportive team-oriented office environment.

In addition this position assists with search and screening recruitment processes within the college staying current with evolving policies and procedures.

The work hours for this position will be between 7:45 am - 4:30 pm Monday through Friday during the majority of the academic year with reduced hours between the months of April August.

Key Job Responsibilities:

  • Coordinates projects and program components including scheduling and logistics unit workflow and identifies areas for process improvements
  • Develops implements and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to department operations according to established policies and procedures
  • Serves as a primary point of contact for the department
  • Monitors the department unit or program budget and expenses and may assist in the development of program budget and projections
  • Identifies troubleshoots and resolves problems regarding technical systems and programs related to department operations

Compensation:

Minimum compensation of $20.00 per hour.

This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

Required Qualifications:

  • H.S. Diploma at time of application

Preferred Qualifications:

  • Associate degree with experience in a higher education work environment

Conditions of Appointment:

Position is a 75% University Staff appointment. The work hours for this position will be between 7:45 am - 4:30 pm Monday through Friday during the majority of the academic year with reduced hours between the months of April August on the Green Bay position may have the option to work on-campusor a hybrid schedule subject to approved telecommuting request.

A criminal conviction investigation will be conducted on the finalist(s). In addition if the final selected candidate has prior work history within the last 7 years with Universities of Wisconsin a personnel file review check for employee misconduct will be completed. A six-month probationary period is required for this compliance with the Wisconsin Fair Employment Act the University does not discriminate on the basis of arrest or conviction record.

Employee Misconduct

All final candidates will be asked to provide names email contact information and/or phone numbers for three (3) references with at least one being from a manager or supervisor during the interview process. All final candidates must be asked prior to hire whether they have been found to have engaged in are currently under investigation for or left employment during an active investigation in which they were accused of employee misconduct sexual violence or sexual harassment. When obtaining employment reference checks these same misconduct sexual violence or sexual harassment questions must also be asked.
