An Administrative Technician job is available with the City of Fort Worth Police Department / Medical Records Unit (MRU). The position provides service to all PD personnel (sworn and civilian) approximately 2300. The units workload is constant the demands are high and priorities can change with little notice.

  • Primary responsibilities include but are not limited to assisting in the administration of medical/leave related programs such as FMLA ADA workers compensation birth/bonding and limited-duty programs. These efforts are done in alignment with City Personal Rules and Regulations federal/state regulations and departmental General Orders.
  • Along with medical/leave administrative duties the incumbent delivers excellent customer service by answering inquiries resolving routine concerns and referring employees to the appropriate department or staff.

Minimum Qualifications:

  • Associates degree in Human Resources Law Medical Management Business Administration Medical Office Administration or a related field.
  • Two (2) years of clerical and administrative experience.

Preferred Qualifications:

  • Experience in a human resource call center payroll office and/or a professional working environment.
  • Experience in medical leave administration workers compensation or HR-related fields.
  • Knowledge of ADA FMLA and other applicable regulations.
  • Strong organizational and case management skills.
  • Proficiency with Excel databases and case tracking systems
  • Demonstrated professional experience providing assistance via telephone and email to employees and/or the public.

The Medical & Leave Technician (MRU) job responsibilities include:

  • Collect review and process medical documentation from providers employees insurance carriers and the Citys Third-Party Administrator (TPA).
  • Communicates and updates supervisors Police Position Management CPPT City HR and other stakeholders on employee medical status.
  • Enter update and track employee medical and workers compensation information in Excel spreadsheets and departmental databases.
  • Prepare and file job injury and exposure reports with the TPA in accordance with reporting deadlines.
  • Troubleshoot and resolve workers compensation timesheet issues in coordination with PD Payroll.
  • Manage cases by monitoring ongoing medical/leave status following up with employees and providers and ensuring timely updates throughout the process.
  • Organize log and retain medical records in compliance with the Citys records retention schedules.
  • Assist the Unit Supervisor and provide assistance in other projects as assigned.

Working Conditions and Physical Demands

  • Work is performed in a standard office environment during core business hours (8-5pm).
  • Extended periods of sitting computer work and handling large volumes of records
  • Occasional lifting of boxes/files up to 10 pounds.
  • Must be able to maintain composure and professionalism when interacting with employees experiencing medical or personal challenges.
  • May require flexibility to adjust work schedule based on departmental needs.

Applicants for this position must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility. Due to CJIS requirements related to system access the following will result in being disqualified for this position: Felony Convictions Felony Deferred Adjudication Class A Misdemeanor Conviction Class B Misdemeanor Convictions in the last 10 years Class A Misdemeanor Deferred Adjudication Class B Misdemeanor Deferred Adjudication in the last 10 years an Open Arrest for Any Criminal Offense (Felony or Misdemeanor) and ALL Family Violence Convictions regardless of class.
