The Alaska Department of Fish and Game Division of Wildlife Conservation is recruiting

for an Administrative Assistant 2/3 located in Anchorage!


What you will be doing:

This position provides administrative support to the Division of Wildlife Conservations Statewide Programs (SWP) consisting of 50 staff and 8 programs located across Alaska.


At the Administrative Assistant 2 level this position supports day-to-day operations in personnel management including payroll recruitment and human resources; property management; general office functions and assisting professional and technical staff.


At the Administrative Assistant 3 level the role advances to serving as a technical expert and administrative lead independently managing complex personnel payroll procurement and office systems with minimal oversight.

The Statewide Programs Administrative Team provides financial and administrative support to eight programs within the Division of Wildlife Conservation. The working conditions you can expect:

This position is located in the Anchorage ADF&G office. The daily work environment requires working at a desk effective written and verbal communication and customer service with SWP admin team and support staff. Also regular use of a computer while interacting with staff and team in person over the phone via email and Microsoft TEAMS.

  • May require 1-2 travel trips a year (normally no more than 3-4 days) for training or staff workshops.


Who we are looking for:

The person we are looking for will have the following knowledge skills and abilities:

  • Knowledge of administrative processes necessary to support the operations of a business such as interpreting and executing complex written rules regulations and procedure human resources management purchasing and inventory.

  • Experience working with Microsoft Suites such as Word Excel Outlook and Teams; with the ability to create and maintain word documents and excel spreadsheets as well as experience using Adobe and DocuSign.

  • Experience working with systems used by the State of Alaska or similar systems. These include the following: Integrated Resource Information System (IRIS) Financial IRIS Human Resource Management (HRM) and Alaska Data Enterprise Reporting (ALDER) and DFGs internal systems TEARS and Admin Project System (APS).

  • Past work experience that demonstrates a strong work ethic including personal accountability punctuality reliability and ability to work as a team as well as independently.

  • Interpersonal and Communication Skills: Shows respect understanding friendliness courtesy tact and politeness to others; develops and maintains effective relationships with others; effective verbal and written communication to a broad audience.

Minimum Qualifications

Administrative Assistant 2
Six months of entry-level technical experience in one or more administrative functional areas such as human resources accounting administration and procurement. This experience includes work such as Administrative Assistant 1 Accounting Technician 1 Human Resource Technician 1 and similar classes with the State of Alaska or the equivalent with another employer.

OR
One year of advanced-level clerical experience. This experience includes work such as Office Assistant 2 Accounting Clerk and similar classes with the State of Alaska or the equivalent with another employer.

OR
One year of post-secondary education from an accredited college (32 semester hours or 48 quarter hours equals 1 year)

OR
One year of any combination of post-secondary education vocational education and/or advanced-level clerical experience. (Three semester or four quarter hours of post-secondary education are equal to one month of experience; 150 hours of vocational education are equal to one month of experience.)

Special Note:
Examples of entry-level technical experience include:
-Assisting in the preparation of reports reflecting the examinations made discrepancies noted and the corrective entries required for adjusting accounts. Assisting with the implementation of corrections.
-Verifying the accuracy and completeness of accounting data and documents; determining the general ledger accounts journals and subsidiary accounts affected and the debit and credit entries to be made; determining the entries required to bring accounts into balance; preparing encumbrances expenditures adjustments billings and other transaction documents for the account; and maintaining records of transactions and current status of accounts.
-Preparing standard and ad hoc reports; making periodic projections and analyzing trends; notifying supervisor of need for additional promotional efforts; and recommending additional promotional materials or methods to secure optimum enrollment.
-Receiving supply requests reviewing and approving for completeness and conformity to guidelines. Preparing and processing various documents such as purchase orders delivery orders and bid specifications.

Examples of advanced clerical experience include:
-Reviewing complex or questionable applications or documents and searching files and regulations to determine accuracy of information to clarify applicant status; using judgment in applying criteria rules regulations and policies; providing information to organizational unit staff on administrative processes and procedures; tracking expenditures; and completing necessary administrative paperwork according to regulations.
-Composing letters and memoranda; completing and reviewing forms for completeness and accuracy using readily available information from multiple sources and established guidelines and procedures. Examples of such tasks include time sheets appointment paperwork or required drug testing notifications for employees in positions requiring possession of a valid Commercial Drivers License (CDL).

Administrative Assistant 3
One year of experience performing journey-level technical duties in one or more administrative functional areas such as human resources accounting administration and procurement. This experience includes work such as Administrative Assistant 2 Accounting Technician 2 Human Resource Technician 2 and similar classes with the State of Alaska or the equivalent with another employer.

OR
Two years of post-secondary education from an accredited college (32 semester hours or 48 quarter hours equals 1 year).

OR
Two years of entry-level technical experience in one or more administrative functional areas such as human resources accounting administration and procurement. This experience includes work such as Administrative Assistant 1 Accounting Technician 1 Human Resource Technician 1 and similar classes with the State of Alaska or the equivalent with another employer.

OR
Two years of any combination of post-secondary education vocational education and/or entry-level technical experience in one or more administrative functional areas such as human resources accounting administration and procurement. (Three semester or four quarter hours of post-secondary education are equal to one month of experience; 150 hours of vocational education are equal to one month of experience.) The required experience includes work such as Administrative Assistant 1 Accounting Technician 1 Human Resource Technician 1 and similar classes with the State of Alaska or the equivalent with another employer.

Special Note:
Examples of journey-level technical duties include:
-Calculating or auditing timesheets including a variety of standard premium pays such as overtime shift differentials hazard recall and standby; reviewing and correcting calculations and coding completed by other staff; coordinating the notification of employees and supervisors of entitlements and obligations.
-Determining which of several accounts journals and ledgers are affected by a transaction and certifying entry or adjustment; and reconciling subsidiary account balance with control ledgers--for example encumbrance accounts receivable balance project balance and authorized balance.
-Purchasing supplies materials and equipment through vendors on the open market contract awards and/or other standard forms of purchasing; preparing and processing documents in the receipt issuing and transferring of goods; expediting the flow of goods from vendor to user.

Examples of entry-level technical experience include:
-Assisting in the preparation of reports reflecting the examinations made discrepancies noted and the corrective entries required for adjusting accounts. Assisting with the implementation of corrections.

Flexible Staffing

This position is flexibly staffed. The level of the job offer will be based on the selected candidates credibly possessed and proven competencies. If hired at the lower level you will be promoted to the higher level after completing the training plan and demonstrating competency in the work.
