About the Position

The Administrative Staff Supervisor supervises Legal Liaisons and administrative staff trains personnel on MCSO programs and software and as they transition from various training posts schedules off-site and mandatory training courses performs quality control review and approval of subordinate work product and completes monthly and quarterly reports to the Court Implementation Division. This position acts as a liaison between the public and MCSO divisions regarding requests for records and is responsible for reviewing public records requests summons complaints and subpoenas as well as requests from Maricopa County counsel various County departments and contracted attorneys assigned to represent MCSO in legal action.

Position Qualifications

Education

  • High school diploma or GED.

Experience

  • Three (3) years of experience with progressively responsible administrative experience to include one year of experience managing public records and requests in a law enforcement setting.

OR

Combined education and experience qualifications

  • Other combinations of post-secondary education and experience may substitute for the minimum qualifications on a year-for-year basis.

Other requirements

  • Obtain Terminal Operator Certification (TOC) within one (1) month of hire; with renewal required every two (2) years.

  • Must possess a valid Arizona drivers license or ability to obtain by the time of hire.

  • Training that may be provided on-the-job: FEMA NIMS IS100 and 700; Safety; Payroll; PREA.

  • Prior to hiring the Sheriffs Office requires that all candidates pass a background review.

Our Preferred Candidate has

  • Experience in a supervisory or lead capacity.

  • Experience managing public records requests and litigation hold/document preservation matters.

  • Knowledge of the Maricopa County Sheriffs Office administrative and/or jail system policies and procedures.

  • Advanced proficiency with Microsoft 365 and Adobe Acrobat Professional.

  • Video redaction experience using Adobe Premiere Axon redaction tools or similar redaction software.

Essential Job Tasks

(This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned.)

  • Trains evaluates and supervises personnel assigned to area of responsibility with additional focus on newly hired or newly transferred employees and administrative staff.

  • Analyzes and quantifies various processes and procedures; implements procedural changes to improve the overall effectiveness and productivity of administrative staff.

  • Administers programs and processes that are specific to the Public Records and Request Management Section.

  • Develops organizes and presents training programs and reference materials for MCSO employees.

  • Accesses databases used by the Public Records and Request Management Section various computer software programs and Microsoft 365.

  • Responds to inquiries regarding operations policies procedures and office functions within area of responsibility.

  • Reviews and responds to inmate requests and grievances.

  • Researches obtains redacts and duplicates MCSO records responsive to legal requests.

  • Performs monthly and quarterly reviews and completes reports regarding document preservation and production.

  • Provides training for staff regarding computer programs and procedural changes.

  • Prepares employee performance notes and mentors Legal Liaison personnel.

  • Attends and participates in staff meetings with superiors; conduct staff meetings with subordinates.

  • Coordinates conducts or implements assignments and special projects as assigned by supervisor or Command Staff.

  • Provides testimony in court regarding the records produced by the Public Records and Request Management Section.

  • Provides customer service via telephone email in person and in written documentation.

  • Maintains good attendance to perform tasks as scheduled and/or assigned by the supervisor.

  • Legal terminology principles and procedures.

  • Arizona Rules of Evidence Arizona Rules of Civil Procedure regarding rules governing discovery Arizona Public Records Law and other legal resources released according to Office Policy and public records procedures.

  • Microsoft 365 intermediate to advanced level.

SELECTION PROCEDURE:
