Description/Job Summary
The Scranton Office of Catholic Social Services provides a variety of relief services to the local community including but not limited to representative payee services diaper pantry and rental assistance. The Relief Services Administrative Assistant is the first point of contact for clients and staff both in person and over the phone. The Administrative Assistant will perform a variety of clerical duties; should possess strong interpersonal communication and organizational skills; and must be dependable and reliable. This individual must maintain an awareness of the Mission Statement of Catholic Social Services which is an extension of the broader mission of the Catholic Church of the Diocese of Scranton. This individual reports directly to the Supervisor of Relief Services. Scheduled work time is Monday-Friday 8:00 AM to 4:00 PM but must be flexible based on the needs of the office.
Responsibilities/Duties
Administrative
- Adheres to established regulations policies and procedures of the overall agency and their specific component.
- Ensures that program staff adheres to established regulations policies and procedures of the overall agency and their specific component.
- Maintains consistent and positive connections with agency staff contract providers and community agencies
- Assists in the development and implementation of new program initiatives
- Opens and closes the office at appropriate times
- Routes incoming and outgoing mail
- Ensures client areas are neat and tidy
- Makes bank deposits online or in person
- Completes program filing
- Maintains client confidentiality
Direct Service
- Greet incoming clients
- Distribute checks to representative payee clients
- Distribute diapers and wipes
- Answer the telephone take messages and transfer calls
- Return phone calls and emails
- Link and refer clients to various local resources
- Maintain decorum in client waiting room
Supervision
- Meet with supervisor monthly for individual supervision
- Participate in monthly staff meetings
Miscellaneous
- Participate in the holiday toy program
- Participate in outreach efforts to promote the agency
- Other duties as assigned
Required Qualifications
- High school diploma or GED; clerical/administrative experience preferred
- Must possess a Valid PA Driver’s License and have access to a vehicle during business hours
- Proof of current ChildLine PA State Police and FBI background checks within last 24 calendar months or to be completed by employer prior to beginning employment
- Employer-provided VIRTUS training
