Position Summary:
Working in the Registrars Office this role is the senior functional systems officer assuming a lead role in parameter and data set-up and coordinates departmental projects making decisions and recommendations to ensure achievement of functional system goals. The Student Systems Officer is responsible for the development and implementation of the testing protocols for the Student Information System and its associated services; develops and maintains inventory of Student Information System (SIS) coding requirements operational procedures and data reports aligned with the policies and procedures of the Registrars Office; works closely with the Information Management Office with planned upgrades to various systems such as but not limited to PowerCampus and InfoSilem Enterprise. This role is responsible for developing and delivery of training for SIS and other associated systems used within the Registrars Office.
Duties:
- Conducts regular audits of data in the Student Information System and its associated services to ensure coding meets the Registrars Office and the Ministry of Colleges and Universities standards for data integrity; identifies gaps/risks to the systems; and takes initiative to identify operational or development challenges and opportunities and makes recommendations for systems improvement.
- Acts as the lead in providing training and problem-solving to all Michener Institutes staff members for systems issues development of systems solution and escalates issues to the Associate Registrar (Enrolment Management and Systems) and the Registrar.
- Prepares annual fee schedules in the Student Information Systems and the associated e-commerce platform to ensure consistency of application of tuition fees policy.
- Acts as the lead in developing test protocols and supervising its implementation for the Student Information System and its associated services. Provides expertise in the management of application import from Ontario Colleges (OCAS) to ensure effective and accurate data transmission into the Student Information System.
- Acts as the lead in providing expertise in the management and clean-up of multiple student records in the Student Information System and its associated services. Reviews suspected multiple records and makes decisions on merging/purging such records. Escalates to the Associate Registrar (Enrolment Management and Systems) records which cannot be merged/purged.
- In conjunction with the Finance Office prepares annual data requirement for production of T2202A reports pulling information from the Student Information Systems and its associated conjunction with the Finance Office and School of Continuing Education prepares annual fee schedules for the base programs and the Continuing Education programs and courses to ensure consistency of application of tuition fee policy. When necessary creates general ledger accounts in the Student Information System to facilitate proper allocation of accounts receivables and/or cash receipts.
- Responsible for set-up of new courses and maintenance of the course catalog in the Student Information System. Escalates any systems-related impact of curriculum changes on students records to the Associate Registrar and/or Registrar.
- Recommends business process improvements focusing on efficiencies and increased productivity by analyzing existing consultation with the Associate Registrar (Enrolment Management and Systems) designs and/or re-engineers reports in the Registrars Office and the broader Michener Community. Develops relevant documentations including procedures associated with process/system improvements.
- Acts as the lead in the set-up of InfoSilem Enterprise System. Provides expertise in the management and creation of scheduling parameters and constraints for simulation and/or academic scheduling purposes; when required assists in the integration of Student Information System and Scheduling processes for data validations and to ensure system concordance.
Other Duties include:
- Special projects as assigned by the Associate registrar (Enrolment Management and Systems) and/or Registrar.
Qualifications :
- Minimum education requirement of Bachelors degree. Educational background in computer science business and/or data analytics a strong asset.
- Minimum of 5 years of experience working in a post-secondary environment with 2 to 3 years of direct experience working in student information system and business process improvements OR an equivalent combination of education and experience. Direct experience with PowerCampus and Enterprise scheduling systems (InfoSilem) a strong asset.
- Project management experience and knowledge of relational databases desirable but not required.
- Strong systems thinking skills and the ability to anticipate challenges/problems and to make decisions as needed and to escalate when warranted; ability to synthesize large amounts of data is required.
- Strong collaboration skills with the ability to lead projects and work effectively with external vendors (such as Ellucian InfoSilem)
- Excellent communication and presentation skills
- Excellent knowledge of integrated student information systems and advanced computer/technical skills using all aspects of MS Office suite. Advanced proficiency in PowerBI and other visualization tools required.
- Demonstrated organizational problem solving and change management skills to meet project goals in a fast-paced changing environment
- Satisfactory Canadian Police Clearance document required upon hire
