Position Summary:

Reporting to the director of development the advancement assistant provides support coordination and assistance to the advancement team with the goal of engaging cultivating and stewarding constituents who support St. Andrews School.

As St. Andrews grows their philanthropic focus to enhance the visionary needs of the community in its next 100 years an advancement assistant is required to support the development work of the advancement office. Being an integral member of the team the advancement assistant manages all office correspondence reporting and financial needs as well as consistently assists members of the advancement operations major gifts Saints Fund alumni and family engagement and stewardship and donor relations teams.

Essential Functions:

  • Assist the advancement leadership team with preparation of the department annual budget as well as supporting individual budget reporting expenses and reconciliation including validating invoices and submitting voucher requests to the business office
  • Coordinate and prepare board of trustee materials analysis and presentations for the advancement committee; take minutes during board of trustees meetings
  • Support prospect research and prepare high-level briefings for school leadership that are accurate and concise while adhering to ethical and confidentiality guidelines of the Association of Professional Researchers for Advancement (APRA) at all times
  • Plan travel itineraries for the advancement directors and other school leadership for advancement-related travel
  • Develop program data reports and analysis to support strategic objectives and reports on key performance indicators
  • Support constituent database updates needs and imports
  • Support the Saints Fund team and major gifts team with regular data reporting
  • Manage correspondence via postal mail multiple email inboxes and text inboxes filing systems phone reception and general office functions which include confidential information
  • Manage electronic and paper file mailing scanning maintenance and organization
  • Organize and maintain schedules including detailed arrangements for meetings and events preparing agendas and supporting materials; making meeting space arrangements and coordinating resources; and follow-up items
  • Coordinate external candidate and constituent visits and interviews. managing new hire on-boarding schedules training and needs
  • Maintain the inventory and ordering of office needs
  • Serve as the liaison and point of contact to the Technology and Facilities departments as well as all other departments for office needs
  • Provide logistical support for in-person events and programs throughout the year

Qualifications

Job Qualifications:

  • Familiarity with Raisers Edge fundraising software
  • Proficient in Microsoft Office and Google Workspace
  • Excellent organizational skills with high attention to detail and follow-up
  • Ability to relate well to and take direction from multiple colleagues and work effectively as a collaborative team player while presenting a collegial collaborative and customer-service demeanor that positively reflects the core values and mission of St. Andrews School
  • Excellent communication and interpersonal skills with the ability to interact professionally with diverse stakeholders including students faculty staff and external partners to convey information clearly and concisely
  • Discretion and ability to work with sensitive constituent information while remaining committed to excellence trust confidentiality and accountability
  • Able and willing to work occasional nights and weekends

Physical Requirements:

  • Must occasionally lift and/or move up to 25 pounds
