ABOUT YOU

We are hiring highly a motivated individual to join our Workforce Branch as a Staff Assistant (Workforce and Training Management). In this role you will serve as the primary administrative point of contact for all matters related to organizational and workforce management and serve as the enterprises single source of data for workforce planning analytics. You will support workforce management surveys and studies validate organizational and workforce change requirements and assist in the execution and oversight of all activities related to External Training. You will also provide advice and guidance to ensure the effective implementation of these initiatives. Your contribution will play a critical role in shaping the future structure and capabilities of the Force by providing accurate data actionable insights and administrative support that drive informed decision-making at the leadership level.

YOUR QUALIFICATIONS AND EXPERIENCE

The ideal candidate will have:

  • At least a secondary education and advanced vocational training or higher secondary education and intermediate vocational training in human resources management business administration law social sciences or related field/discipline coupled with sufficient and current related professional experience;

  • Solid understanding of organizational structure and job analysis methods as well as organizational and workforce management survey or audit principles

  • Experience in writing survey audit or similar reports and in delivering effective presentations;

  • Working knowledge of Automatic Data Processing (ADP) systems;

  • Highly proficient in English.

The following would be considered as an advantage:

  • Experience in an international and/or military organization alongside with knowledge of personnel management principles organizational structure and functions of such organizations;

  • Experience with workforce policies and procedures of a complex organization;

  • Experience in project management and/or assisting projects;

  • Workforce management related certifications or training;

  • Knowledge of the Host Nation language (German).

YOUR ROLE

Your core duties and responsibilities will include but are not limited to:

  • Ensuring that position management and organizational structure data is accurate and acting as the organizations primary source for workforce planning analytics;

  • Optimizing workflows to sustain data integrity and supports workforce modernization;

  • Connecting training programs with workforce planning to make sure skills and development match future staffing needs;

  • Organizing directing and participating in organizational and/or workforce management surveys reviews and advisory studies;

  • Applying approved workforce policies procedures and recognized work measurement methods and techniques;

  • Providing workforce related trainings to the mid management level and leading and developing workforce / organizational design workshops at Force level;

  • Drafting and coordinating reports on surveys audits and studies providing findings and recommendations for approval and implementation/follow-up;

  • Drafting coordinating submitting and administering PE change requests;

  • Supporting the Division in the provision of budgetary inputs on workforce issues;

  • Ensuring the maintenance of the master library and IT applications in connection with the Job Descriptions (JDs);

  • Providing advice and hands-on support to the Branch Head in managing and executing all aspects of the External Training program.

YOUR SKILLS

  • Good communicational skills to deal with various stakeholders in an international setting;

  • Skilled in data collection interpretation and presenting findings as well as accuracy in documentation compliance and reporting especially when dealing with personnel and structural data;

  • Capable of drafting and coordinating formal documentation;

  • Competence in administrative tasks documentation control;

  • Comfortable working with shifting priorities/evolving organizational needs with a consistent proactive approach;

  • Team-oriented with a supportive attitude.

YOUR TEAM

The A1 (Human Resources Management) Division is responsible for the provision of consistent effective and efficient workforce planning civilian and military personnel management talent management including the management of staff training. You will be a valuable member of the Workforce Branch which is responsible for all matters pertaining to the Forces organizational structure including advice on organizational changes and on the use of contracting and outsourcing.

CONTRACT

Serving civilian members of NATO will be offered a contract in accordance with the NATO Civilian Personnel Regulations.

Newly recruited staff will be initially offered a definite duration contract of three years. Thereafter an indefinite duration contract might be offered.

  • Salary values indicated in this vacancy notice are based on NATOS Single Salary Spine scale
