Position Summary: The Program Director of Admissions oversees a team of professional and student staff playing a key leadership role in student recruitment enrollment and retention. This position is primarily responsible for the implementation optimization and management of the Colleges CRM system a critical tool in engaging and supporting prospective students. The role blends strategic leadership with hands-on data analysis system administration and cross-departmental collaboration to enhance student experience and advance institutional priorities.

Working in close partnership with Academic Affairs Student Affairs and IT the Director leads recruitment efforts and CRM initiatives that align with the Colleges Strategic Plan. Key responsibilities include developing and executing recruitment strategies establishing data-informed enrollment goals overseeing outreach and campus visit programs and promoting personalized engagement across departments to support enrollment and retention objectives.

Required Qualifications:

  • Bachelors degree and three years of CRM experience at a higher education institution.
  • Prior experience in writing queries and reports.
  • Knowledge of marketing communications and the ability to deploy communications plans.
  • Ability to troubleshoot issues and solve problems.
  • Ability to document processes and provide training to system users.
  • Organized thinker with exceptional attention to detail.
  • Excellent verbal and written communication skills.

Preferred Qualifications:

  • Masters degree
  • Experience with Banner student information system.
  • Experience with Element451 CRM.
  • Experience with AI-driven CRM tools or features (e.g. predictive analytics chatbots customer segmentation automation).
  • Familiarity with leveraging AI or machine learning in customer relationship management to enhance user engagement and sales performance.

Position Details: Job duties include but are not limited to:

  • Lead the admissions team in executing recruitment and enrollment strategies managing outreach territory planning and travel. Supervise key admissions staff across recruitment communication and student belonging functions.
  • Direct the development and optimization of a college-wide CRM strategy ensuring alignment with institutional goals.
  • Drive cross-functional CRM adoption by leading cross-functional project teams in designing and deploying CRM solutions. Translate complex stakeholder needs into actionable technical specifications establish scalable business processes and enforce system integrity security and compliance standards.
  • Manage marketing personas and student engagement journeys optimizing outreach and business processes. Design and implement a data-driven Recruitment Plan to attract and retain a diverse student body.
  • Serve as CRM change agent trainer and support lead; promote adoption and institutional alignment. Establish SOPs for CRM systems ensuring data integrity user requirements and system enhancements.
  • Oversee admission application systems and integration with Banner and imaging software.
  • Develop and implement a strategic Communication Plan that supports and engages prospective students throughout the entire enrollment journey from inquiry to graduation.
  • Coordinate recruitment events and customized campus visits in collaboration with academic and student services.
  • Collaborate cross-functionally to gather and analyze business requirements to support and maintain databases that contain information related to finance financial aid student services procurement institutional effectiveness and other areas with Banner ERP data or reports.
  • Collaborate with Marketing to create branded engaging outreach materials across all platforms. Drive continuous improvement of student-facing business processes and marketing funnels. Develop and execute a strategic Communication Plan supporting students from inquiry to graduation.
  • Champion business process improvement by streamlining and maintaining student-facing business processes and marketing funnels.
