Job Description Summary
Under the supervision of the Facilities Manager the Senior Assistant Facilities Manager is responsible for assisting in all areas defined as part of the Facility Manager position. This is a management position that will directly and indirectly supervise individuals building staff operations and coordinate across the facilities organization at a specific location set of buildings or campus environment. The Senior Assistant Facilities Manager drives implementation of company best practices in alignment with client goals and objectives to deliver a well-managed and maintained building.

About the Role:
- Act as the primary point of contact for all workplace operations and experience at the site.
- Lead and supervise on-site workplace experience activities ensuring smooth daily operations.
- Conduct regular site inspections feedback sessions and implement improvements to workplace services and amenities.
- Foster a welcoming inclusive and professional environment for employees visitors and VIPs.
- Plan coordinate and execute corporate events workshops town halls team-building activities and other employee engagement programs.
- Develop event concepts timelines budgets and post-event evaluation reports.
- Liaise with vendors caterers and service providers to ensure seamless execution of events.
- Ensure all events align with the companys brand and workplace culture objectives.
- Lead CSR initiatives including community engagement volunteering programs sustainability projects and charity drives.
- Coordinate with internal teams and external partners to maximize participation and impact.
- Monitor CSR program effectiveness and report on outcomes and participation metrics.
- Oversee day-to-day office operations including space planning maintenance and safety compliance.
- Work closely with FM vendors to ensure office infrastructure and equipment are maintained efficiently.
- Implement office policies guidelines and workflows that support employee productivity and comfort.
- Monitor office budgets supplies and service contracts to optimize operational efficiency.
- Deliver high-standard hospitality services for VIPs executives clients and visitors.
- Manage VIP arrivals meeting coordination and personalized services to ensure a seamless experience.
- Collaborate with internal teams and vendors to design and implement tailored hospitality programs.
- Anticipate VIP and executive needs and proactively address any requirements or preferences.
- Supervise on-site staff and coordinate with cross-functional teams to ensure workplace experience and operational standards are met.
- Manage relationships with external service providers vendors and contractors.
- Negotiate contracts track service level agreements (SLAs) and ensure compliance with company standards.
- Maintain records and reports related to events workplace initiatives CSR programs and facilities operations.
- Analyze workplace data and provide recommendations to enhance operational efficiency and workplace experience.
About You:
- Minimum Diploma in Facilities Management Business Hospitality or any related field.
- At least 5 years of experience in workplace operations event management or hospitality services.
- Strong leadership and stakeholder engagement skills to foster inclusive workplace experiences.
- Proven ability to manage corporate events CSR initiatives and VIP hospitality programs.
- Solid understanding of office and facilities management including vendor coordination and safety compliance.
