We are seeking a highly skilled and proactive Personal Assistant (PA) to support our Chief Business Officer (CBO) who is based in the United States (East Coast time zone). This pivotal role will provide comprehensive administrative support ensuring that the CBO s time is maximized and organizational priorities are effectively executed.

The PA will serve as a trusted partner to the CBO handling a variety of high-level tasks including calendar management communication coordination business strategy support and cross-functional project oversight. The role will also support potential new hires in the US and collaborate closely with the team in Israel. The ideal candidate will possess exceptional organizational skills attentiveness and a demonstrated ability to manage multiple priorities in a fast-paced dynamic environment.

This position in based in Israel and requires flexibility to work during afternoon and evening hours to align with the East Coast US time zone.



Responsibilities:

1. Administrative Support

  • Efficiently manage the CBO s calendar schedule meetings and appointments ensuring optimal time management and alignment with organizational priorities.
  • Organize and manage domestic and international travel itineraries including accommodations transportation and detailed agendas.
  • Handle expense reports process approvals and ensure timely and accurate financial documentation.

2. Communication & Coordination

  • Act as the primary liaison between the CBO and internal/external stakeholders ensuring timely professional and effective communication.
  • Draft edit and prepare high-level communications and reports on behalf of the CBO.
  • Ensure follow-up on action items key decisions and outstanding deliverables maintaining transparency and accountability.

3. Business Support

  • Assist in the preparation and coordination of executive meetings board presentations and partner engagements.
  • Track key business initiatives and projects collaborating with various teams to ensure progress and alignment with the CBO s strategic goals.

4. Relationship & Office Management

  • Cultivate and maintain strong professional relationships with senior leadership internal and external stakeholders.
  • Maintain the highest level of discretion and confidentiality in all interactions and documents.
  • Work closely with other personal assistants and team members to support smooth operational flow and ensure efficiency within the executive office.

Requirements :

Experience: Minimum of 5 years of experience as an Executive Assistant to C-suite executives or in a senior administrative role within a corporate consulting or fast-paced business environment.

Education: A Bachelor s degree is preferred.

Core Skills:

  • Native-level English proficiency or equivalent both verbal and written.
  • Exceptional organizational and project management skills.
  • Strong written and verbal communication with the ability to draft and edit high-level correspondence.
  • High proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and other relevant software.
  • Strong attention to detail and the ability to maintain confidentiality.
  • Ability to prioritize and manage multiple tasks in a fast-paced environment
  • Proactive resourceful and adaptable to changing needs and priorities.
